We are looking for an Executive Assistant for our CEOs . The ideal candidate will be proactive, capable of managing multiple tasks and projects efficiently, and possess excellent communication and organizational skills. This role is crucial in supporting our two CEOs in the daily management of the company, facilitating workflow, and allowing the CEOs to focus on strategic and business growth activities.
What are the requirements for this role?- Education: Degree in Business Administration, Communication, or a related field.
- Experience: Min. of 2-3 years in a similar role, preferably in a startup or dynamic environment.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
- Communication Skills: Excellent verbal and written communication skills in both Spanish and English (extremely required since many of our stakeholders are international).
- Interpersonal Skills: Ability to interact professionally with all levels of the organization and external partners.
- Organization and Time Management: Ability to manage multiple tasks and priorities efficiently.
- Proactivity and Autonomy: Ability to work independently and take initiative.
- Coordinate and manage the CEOs’ schedule, including meetings, appointments, and events.
- Organize business travel, reservations, and associated logistics.
- Screen and manage phone calls with stakeholders.
- Draft, review, and send emails and other communications on behalf of the CEOs.
- Assist with presentations, reports, and documents for internal and external meetings.
- Assist in planning and executing special projects.
- Track project progress and report updates to the CEOs.
- Coordinate internal and external meetings, including preparing agendas and taking minutes.
- Collaborate with other departments to ensure project alignment with company goals.
- Maintain and foster relationships with key clients, partners, and vendors.
- Coordinate and assist in meetings with clients and partners, ensuring smooth and effective communication.
- Assist in the coordination of accounting tasks with the financial department.
- Handle daily admin tasks such as preparing expense reports and managing office supplies.
- Monitor and report on expenses and relevant transactions.
- Embat has over 10 people working remotely across Spain and shortly in other countries and every month we bring them to Madrid to spend a few days with us.
- Coordinate all travel arrangements for these employees.
- Participate in organizing company events - we usually organize monthly events with the team and annual gatherings to mingle as a team.
