Your Role & Our Team

IRB Barcelona is seeking a Programme Secretary for the Aging & Metabolism Unit. This position provides secretarial support to the different Group Leaders of the unit and its members, by being in charge of different administrative and technical tasks.


Key responsibilities

  1. Manage travel arrangements and general secretarial management tasks, such as congresses/courses registration, reimbursement forms, advance payments, and web management of the unit.
  2. Organize visits, congresses, and seminars hosted by the Programme.
  3. Organize Programme meetings and retreats.
  4. Update/maintain scientific databases and online platforms for the Group Leaders.
  5. Organize visits for candidates hosted by the Programme.
  6. Assist in project and grant applications.
  7. Control expenses on the Programme budget.
  8. Help with administrative procedures and other related administrative tasks.

You have

  1. Experience: Minimum of 3 years in a similar position.
  2. Knowledge: High knowledge of English, Catalan, and Spanish. FPII in Secretarial studies or related. Good command of Microsoft Office pack (Excel, Word, etc.).
  3. Skills: Highly motivated, people-oriented, able to multitask, strong organisational skills, responsible, and the ability to work independently.

  1. Experience: In scientific or educational institutions.
  2. Knowledge: Bachelor is a plus. Knowledge of science-related databases.
