Job Summary

We are seeking a highly skilled Payroll Coordinator to join our team at Mass Markets. The successful candidate will be responsible for ensuring accurate and timely processing of payroll for employees, as well as maintaining compliance with relevant laws and regulations.

Key Responsibilities
  1. Payroll Processing: Calculate wages, deductions, and withholdings, ensuring accuracy and compliance with company policies and applicable laws.
  2. Payroll Data Entry: Enter payroll data accurately into the payroll system and verify the accuracy of payroll reports before processing.
  3. Payroll Reconciliation: Review and reconcile payroll transactions, including salary adjustments, bonuses, commissions, and benefits contributions.
  4. Payroll Compliance: Ensure compliance with federal, state, and local payroll tax regulations, including withholding requirements, reporting, and remittance of payroll taxes.
  5. Payroll Reporting: Prepare and submit payroll tax returns, W-2 forms, and other required filings in a timely manner.
  6. Employee Benefits Administration: Administer employee benefits programs related to payroll deductions, such as health insurance, retirement plans, and flexible spending accounts.
  7. Payroll Record Maintenance: Maintain and update payroll records, employee profiles, and payroll-related information in the payroll system.
  8. Payroll System Troubleshooting: Troubleshoot system issues, resolve discrepancies, and ensure data integrity and security.
  9. Employee Inquiries: Respond to employee inquiries regarding payroll matters, including pay discrepancies, tax withholdings, and benefit deductions.
  10. Payroll Policy Guidance: Provide assistance and guidance to employees on payroll-related policies, procedures, and documentation requirements.
  11. Payroll Audits: Assist with internal and external audits of payroll records, providing documentation and support as needed.
  12. Payroll Process Improvement: Conduct periodic audits of payroll data to identify errors, discrepancies, and potential areas for improvement.
  13. Payroll Process Optimization: Identify opportunities to streamline payroll processes, improve efficiency, and enhance controls.
  14. Collaboration: Collaborate with cross-functional teams, including HR, Finance, and IT, to implement process improvements and system enhancements.
Requirements
  1. Education: Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  2. Experience: 2 years experience in payroll processing, payroll administration, or related roles.
  3. Payroll Knowledge: Strong understanding of payroll principles, practices, and regulations, including tax laws and wage and hour regulations.
  4. Payroll Software: Proficiency in payroll software and systems, such as ADP, Paychex, or similar platforms.
  5. Attention to Detail: Excellent attention to detail and accuracy in data entry and calculations.
  6. Analytical Skills: Strong analytical and problem-solving skills, with the ability to reconcile complex payroll transactions.
  7. Communication Skills: Effective communication and interpersonal skills, with the ability to interact professionally with employees, managers, and external stakeholders.
  8. Confidentiality: Ability to maintain confidentiality and handle sensitive payroll information with discretion.
  9. Technical Skills: Knowledge of Microsoft Excel and other office productivity tools.

Physical Requirements

This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
