Strategic HR and Facilities Coordinator

We are seeking a highly organized and proactive HR Specialist to join our team in Spain. This role will focus on managing essential HR functions, ensuring compliance with Spanish labor laws, supporting employee relations, and coordinating office facilities.
This role reports directly to the HR Manager Southern Europe and Head of finance Spain.
This is a one-year position with the potential for renewal based on performance and organizational needs.
The ideal candidate will handle payroll, compliance-related HR topics, and employee experience initiatives while overseeing workplace safety and facilities management.
We offer a competitive salary of around €45,000 per year, depending on qualifications and experience.
Key Responsibilities:
- Manage the complete payroll process and ensure timely payments to employees.
- Administer employee benefits such as insurances and flexible remuneration packages.
- Prepare and check mandatory social security and withholding tax declarations.
- Deliver high-quality, detailed HR documentation as required (employee contracts, contract amendments, employment declaration, etc.).
- Manage all employee soft and hard copies.
- Manage employee medical requirements.
- Manage employee holiday queries.
- Maintain our internal channels and distribution lists up-to-date.
- Take care of statistical surveys, as necessary.
- Ensure compliance with legal requirements for workplace safety, risk prevention, and accident management.
- Organize mandatory health and safety training sessions and schedules medical checks for employees.
- Oversee workplace safety infrastructure and ensure proper measures are in place.
- E nsure proper application of the collective agreement and HR policies.
- Manage labor law compliance, including inspections, legal documentation, and addressing employee queries.
- Handle work permits and visas for foreign employees, ensuring compliance with immigration laws.
- Organize employee training programs based on company needs.
- Manage FUNDAE funds and ensure proper documentation for training subsidies.
- Send internal communications on local HR topics.
- Act as the point of contact for employees and managers regarding HR-related queries and issues.
- Support employee engagement and experience initiatives, including event organization when required.
- Maintain HR data accuracy in the HRIS (Human Resources Information System).
- Update employee records and ensure compliance with data protection laws.
- Prepare and deliver HR reports related to headcount, payroll, training, and employee queries.
- Lead initiatives related to the Gender Equality Law and ensure the company meets its obligations.
- Provide support to the HR Manager where required.
- Manage the day-to-day office facilities to ensure a safe and efficient working environment, in Madrid and Barcelona office.
- Coordinate office maintenance, supplies, and infrastructure to meet employee and operational needs.
- Communicate and negotiate with landlord for Madrid and Barcelona offices.
Requirements:
- Minimum 3 years of HR experience in a fast-paced commercial environment.
- Experience working with an HR Information System, ideally Workday.
- Degree qualification.
- Ability to plan, prioritize, and deliver multiple tasks simultaneously.
- Positive, 'can-do', flexible attitude.
- Fluent in Spanish and English written and spoken.
- Home-based in Madrid.
