Madrid Office Manager

About the Role:
As an Office Manager at Refinery89, you will be responsible for overseeing the day-to-day operations of our Madrid office. This includes ensuring compliance with legal documents, managing supplier communication, and maintaining inventory lists of office supplies. You will also act as the welcoming face of the office, greeting clients and employees, and manage appointments and meeting rooms proactively. Additionally, you will instruct cleaning personnel to maintain a tidy and organized office.
Key Responsibilities:
• Ensure all legal documents are signed by employees and stored in a timely manner
• Manage and renew all Spanish insurances and facility contracts on a recurring basis
• Act as the point of contact for internal and external parties in case of an insurance incident
• Maintain inventory lists of office supplies, including technical equipment, food, and cleaning products
• Ensure there is always sufficient stock and properly store, rotate and place inventory
• Act as the welcoming face of the office, greeting clients, employees and Amazon deliveries
• Manage appointments and meeting rooms proactively
• Instruct cleaning personnel to maintain a tidy, organized, and clean office
Requirements:
• Fluent Spanish (native) and fluent English (advanced)
• Comfortable commuting to our offices near metro Estrecho
