We are a global consultancy firm providing support services for GDPR compliance. Our team is part of a commercial legal process outsourcing unit serving local and multinational companies.
**Project Overview**
We are looking for an Administrative Coordinator to provide administrative and technical support to our Data Protection Department in Barcelona. You will receive training on data protection regulations (GDPR, LGPD, POPIA, CCPA, Virginia Consumer Data Protection Act...).
**Key Responsibilities**
Initially, you will participate in regular meetings via video conference with managers of different departments in all client companies. You will facilitate meetings to support clients in their process of compliance with the regulations in force. The level of language must be very professional and the vocabulary relating to the legal terminology used accordingly.
You will be required to train clients in the use of software. Your duties will include writing invitations to meetings and emails in a professional level of language. You will review written documents, checking for accuracy and content requirements. You will update the Action Tracker, following up on new information provided by the manager.
You will take notes during meetings and minutes of meetings. You will maintain mandatory records and prepare audit questionnaires. You will compile relevant information, prepare summary reports, and create statistics.
You will transfer databases from Excel spreadsheets to company software. You will monitor performance indicators and produce regular reports of risk assessments.
**Requirements**
To be successful in this role, you should have at least three years of experience as an executive assistant. Knowledge of law and data protection regulations is a plus.
You should have demonstrated knowledge of current computer technologies and software applications appropriate to the job responsibilities: Excel (pivot tables and statistical charts), Power Point: creation of documents for statistical presentations.
Strong written and verbal communication skills are essential. Spanish, French, and English knowledge are required.
You should be able to multi-task. Cross-cultural knowledge in dealing with international clients is necessary. Knowledge of B2B relations is also required.
You should be organised, goal-oriented, and positive. A keen eye for detail is essential. Patience, empathy, and pedagogy are required. Team spirit and motivation are also necessary.
You should be able to adapt to complex communication situations and be comfortable in discussions with executives of multinational companies.
The estimated salary for this role is around **€45,000 - €55,000 per year**, depending on your experience and qualifications.
