We are seeking an exceptional individual to join our team as a Senior Administrator, Real Estate Operations. This role will be based in Madrid and will require occasional travel to ULI Spain events and other locations within Spain.

Job Summary:

We are looking for a highly organised, detail-oriented, and proactive professional to support the ULI Spain National Council team. The successful candidate will be responsible for providing administrative assistance, managing data, and handling inquiries from members. Additionally, this role will involve supporting event logistics, preparing reports, and maintaining accurate records.

About the Role:

This exciting opportunity requires someone with excellent communication skills, proficiency in Microsoft Office, and experience in database management. The ideal candidate will have a strong understanding of membership database processes and be able to work independently with minimal supervision.

The Associate will report directly to the Executive Director, ULI Spain, and will be part of a dynamic team that drives the organisation's growth and success in the region.

Key Responsibilities:

  • General Administration:
    • Serve as the first point of contact for member queries.
    • Handle administration of cloud-based filing systems.
    • Update the ULI Spain website.
    • Schedule meetings and record minutes.
  • Event Support:
    • Work closely with the council staff team and Executive Committee to deliver events for ULI Spain.
    • Respond to member enquiries regarding events.
    • Liaise with the ULI customer service team regarding event setup and registration.
    • Prepare name badges and on-site materials.
    • Prepare event invitations and mail thank-you letters to speakers and sponsors.
    • Monitor income generation of events and process invoices when required.
    • Travel to and attend events to assist in on-site logistics, including setup, name badges, and on-site registrations occasionally.
    • Assist with additional event logistics as needed.
    • Capture information of all delegates attending, including any nonpayment's or on-the-day registrations.
    • Communicate with event delegates pre- and post-event.
  • Data Management:
    • Pull member data and event information from the ULI database.
    • Update member contact details in the ULI database.
    • Capture non-member/prospective member contact details for inclusion in the ULI database.
    • Maintain data lists of ULI Spain Council Members.
    • Create and update spreadsheets.
  • Invoicing:
    • Create payable invoices and communicate with payees.
    • Process incoming invoices and liaise with vendors.
    • Track and chase up payments.

Requirements:

  • A minimum of two to three years' experience in a similar role.
  • Demonstrated proficiency/skills in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • A Bachelor's degree or equivalent work experience.
  • Fluency in Spanish and proficiency in English required.
