This position supports the Department Manager on a day-to-day basis and provides the first point of contact for department team members. The Coordinator maintains departmental records and reports, communicates the day's scheduled events, arranges key meetings, and provides general administrative support.
Key Responsibilities- Departmental Support: Provide administrative support to the Department Manager, including maintaining departmental records and reports, communicating scheduled events, and arranging meetings.
- Schedule Management: Collaborate with the Production Supervisor and Department Head to maintain and manage the department schedule, ensuring accurate and up-to-date information.
- Progress Tracking: Track progress of tasks for assigned artists or sequences in Shotgun, reflecting scheduled, in-progress, and completed departmental work.
- Collaboration and Communication: Collaborate with other coordinators and supervisors to ensure accurate and current data, and communicate effectively with team members.
- Priority Setting: Partner with the Production Supervisor and Department Head to set priorities for the department, taking into account show priorities established by the Production Supervisors and Production Manager.
- Meeting Coordination: Schedule meetings at the request of the Manager and Lead(s), maintain the calendar, and manage the schedules of key personnel.
- Meeting Preparation: Ensure proper preparation for all meetings and reviews, record and publish notes, and distribute as needed.
- Work Coordination: Coordinate work that enters and leaves the department, ensuring completeness, and provide administrative support as needed.
- Information and Assistance: Respond to requests for information and assistance from within and outside the department, and follow up with Artist Leads on a daily basis to ensure task deliveries remain on schedule.
- Productivity and Reporting: Assist the Production Supervisor with maintaining quotas, deadlines, and inventory, ensuring departmental productivity goals are consistently met, and generate weekly reports from department quotas.
