Job Title: Event AssistantJob Summary

We're seeking a highly motivated and organized Event Assistant to join our team. As an Event Assistant, you will play a crucial role in supporting the planning and execution of events, ensuring seamless experiences for our guests. Your attention to detail, excellent communication skills, and ability to work independently will make you an invaluable asset to our team.

Key ResponsibilitiesEvent Planning and Execution
  • Assist with event coordination, ensuring each event runs smoothly and efficiently.
  • Communicate with vendors and negotiate services to enhance the event experience and increase revenue.
  • Help with setup and breakdown of events, ensuring a seamless experience for our guests.
  • Provide exceptional guest services, ensuring our guests feel welcome and valued.
  • Manage event supplies and materials, maintaining a high level of organization and attention to detail.
Marketing and Promotion
  • Design engaging visuals and materials to showcase our venue's features and past events.
  • Implement social media strategies to highlight our venue, share success stories, and attract event organizers.
  • Connect with DMCs, wedding planners, and suppliers to expand our network and uncover new event opportunities.
  • Utilize email marketing campaigns to promote our venue to potential clients and partners.
  • Analyze marketing data to identify what attracts bookings and adjust strategies to maximize event bookings and revenue.
Administrative Support
  • Manage and coordinate schedules for events, meetings, and client consultations.
  • Monitor event budgets, track expenses, and ensure all financial activities are within allocated budgets.
  • Serve as a key point of contact for clients, vendors, and team members, ensuring clear and timely communication.
  • Keep comprehensive records of all events, marketing efforts, contracts, and client interactions.
  • Provide broad support to the marketing and events team, assisting with various tasks as needed.
RequirementsEssential Qualifications and Skills
  • Education: Degree in Marketing, Hospitality, Event Management, or related field.
  • Experience: Experience in events, marketing, or hospitality, with familiarity with Canva, Photoshop, or InDesign.
  • Languages: Fluent in both Spanish and English.
  • Technical Skills: Proficient in social media and Microsoft Excel.
  • Communication: Strong verbal and written communication skills.
  • Organizational Ability: Excellent at managing multiple tasks and events.
  • Customer Service: High focus on providing great service.
  • Transport: Must have a driving license and access to a car.
  • Flexibility: Willing to work flexible hours, including evenings and weekends.
  • Attention to Detail: Detail-oriented in all aspects of work.
