About the Role

We are seeking a highly organized and detail-oriented Bilingual Office Assistant to join our team at a reputable investment firm in Madrid. As a key member of our administrative team, you will be responsible for providing exceptional support to our team members and ensuring the smooth operation of our office.

Key Responsibilities
  1. Administrative Support: Provide administrative assistance to our team members, including agenda management, travel arrangements, and office supplies.
  2. Office Management: Oversee the day-to-day operations of our office, including managing office supplies, maintaining a clean and organized workspace, and ensuring the smooth running of our facilities.
  3. Communication: Liaise with various stakeholders, including providers, partners, and team members, to ensure effective communication and collaboration.
  4. Technical Support: Provide technical support for teleconferences, videoconferences, and other digital communication tools.
  5. Reporting: Prepare and submit reports to our partners and management team as required.
  6. Booking and CRM Systems: Manage our booking and CRM systems to ensure accurate and up-to-date information.
  7. Facilities Management: Oversee the maintenance of our office facilities, including common areas and shared spaces.
  8. Ad Hoc Tasks: Perform various ad hoc tasks as required by our team members, including expense reports, database management, and adding contacts to our database.
Requirements

To be successful in this role, you will need a university degree or secretarial studies, as well as a professional level of Microsoft Office. You should be resourceful, proactive, and comfortable with a wide range of tasks. A confident and positive attitude is essential.
