Job Title: Senior Associate, Entity Management Specialist

Job Summary:

Vistra is seeking a highly skilled Senior Associate, Entity Management Specialist to join our team in the UK. As a key member of our Global Entity Management team, you will be responsible for providing exceptional service to our international clients and stakeholders.

Key Responsibilities:

  • Proactively handle enquiries from international clients and colleagues to ensure prompt resolution.
  • Build rapport with senior stakeholders within the client leadership to develop strong relationships.
  • Develop customer relationships and participate in meetings with prospective clients to nurture new business opportunities.
  • Review client preliminary instructions and advise on due diligence requirements in accordance with in-country compliance obligations.
  • Schedule, attend, and minute weekly client meetings, and circulate completed minutes to relevant principals.
  • Set up and maintain client environments within the Vistra global compliance application to provide transparency into client task and compliance status.
  • Facilitate agreed service provisions, including drafting associated documentation, requesting transfer documents, and arranging filings with relevant registries.
  • Ensure all new enquiries are entered into and maintained on the VEnterprise system and followed up and invoiced as necessary.
  • Record all time on VEnterprise accurately and promptly to support profitability management of client contracts.
  • Arrange for notarisation and legalisation of documents where necessary and be aware of Vistra legalization services capabilities.
  • Manage tasks with 3rd party partners and local Vistra offices to ensure timely completion of client requests.
  • Proactively escalate matters with management where client deliverables may be at risk and identify possible solutions to be proposed to the client.
  • Record and present necessary stats as requested from time to time by the Associate Director.

Attributes and Technical Skills:

  • Good understanding of statutory features and service requirements across multiple jurisdictions, including UK, Spain, USA, and Eastern Europe.
  • Ability to initiate all forms of communications and generate meetings where appropriate for new business or business development opportunities.
  • Understanding of Anti-Money Laundering Regulation requirements and ability to take on processes to cover multiple jurisdictions and sectors.
  • Ability to work with marketing to create new literature and maintain and update literature held for use with client enquiries for all services and jurisdictions actively supported.
  • Assistance in maintaining relevant literature, including information sheets, questionnaires, fee schedules, and business acceptance forms as retained within the appropriate directories.
  • Recording stats to share information in relation to key clients and notable cases within the business.
