We are seeking a highly skilled Office Operations Manager to join our team at Tennium. The ideal candidate will be responsible for organizing and coordinating office administration and procedures to ensure organizational effectiveness and safety, as well as managing the receptionist.

About the role:

  • Event Planning and Coordination: Organising and participating actively in the planning and execution of company events and conferences, ensuring seamless logistics and timely completion.
  • Office Operations Management: Organising and controlling office operations and procedures, including supervising the meeting room reservation process and database management.
  • Financial Management: Assisting with the office budget and ensuring all employees follow it, as well as liaising with maintenance companies to keep the office clean and safe.
  • Policy Development: Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
  • Reporting and Analysis: Reporting office progress to senior management and working with them to improve office operations and procedures.
  • Travel and Expense Management: Administering business trips and expense reports for the management board.
  • Procurement and Supply Chain Management: Ordering stationery and IT equipment, coordinating with an external IT company, and managing contracts and price negotiations with office vendors, services, and providers.
  • Front Desk Support: Coordinating and providing support to the front desk department, including answering evening phone calls.

Requirements:

  • 5+ years of experience as an Office Coordinator or similar role.
  • Strong analytical skills and excellent communication skills.
  • Outstanding attention to detail and proven problem-solving ability.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Excellent knowledge of MS Office (Outlook, Word, Excel, and PowerPoint).
  • Discretion and confidentiality.
  • Fluent in verbal and written English and Spanish.
