Position Overview

At Avery Dennison's Solutions Group, we are seeking a proactive, adaptable, and detail-oriented business administrator and project leader. This pivotal role involves supporting the Solutions Group President and the leadership team in implementing our strategic objectives, enhancing operational efficiency, and nurturing a collaborative and accountable culture. You will serve as a key coordinator for group interactions and meetings, ensuring optimal preparation for maximum productivity while aligning key projects and business initiatives. This position reports directly to the President of the Solutions Group, facilitating day-to-day functions that allow the executive to concentrate on high-level leadership and strategic responsibilities.

Key Responsibilities

  • **Strategic Collaboration:** Work closely with the Solutions Group President and leadership team to communicate strategic goals and ensure organizational alignment. Regularly monitor and report on the progress of strategic initiatives.
  • **Confidential Project Support:** Assist with sensitive projects, including potential acquisitions, partnerships, and organizational changes that require focused attention.
  • **Information Analysis:** Identify challenges and opportunities, presenting findings to the Group President and/or Solutions Group Leadership Team. This includes gathering data such as financial reports and performance metrics. Strong analytical skills are essential.
  • **Administrative Management:** Oversee various administrative tasks for the Solutions Group President and leadership team, including preparation for external engagements and team meetings, both on-site and remotely.
  • **Calendar and Expense Oversight:** Provide daily support through calendar management, travel arrangements, visa applications, expense reimbursements, and invoice management for the Solutions Group President.
  • **Visual Communication Development:** Create presentations and visual materials for leadership meetings and communication events.

Additional Administrative Duties Include:

  • Serve as the primary contact for the President, managing correspondence and scheduling.
  • Prepare documents for the President's review and approval.
  • Address routine inquiries and provide information to optimize the leader's time.
  • Conduct independent research on complex information requests.
  • Adapt quickly and prioritize effectively to deliver high-quality support.

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum of 3 years of experience in a similar role, demonstrating success in providing executive support in a fast-paced, international environment.
  • Proven ability to navigate large, global organizations with a high degree of accuracy and attention to detail.
  • Strong interpersonal skills and a collaborative mindset to thrive in a complex multinational setting.
  • Excellent time management and prioritization abilities.
  • High level of trustworthiness and confidentiality.
  • Strong analytical and organizational skills, with a focus on data synthesis and interpretation.
  • Proficient in project management and familiar with tools such as Excel and Google Sheets.
  • Effective communication and relationship-building skills.
  • Comfortable interacting with all organizational levels.
  • Exceptional problem-solving capabilities, with a track record of providing actionable recommendations.
  • Willingness to travel domestically and internationally as required.
  • Proficiency in digital tools, particularly Gsuite (Google Calendar, Gmail, Google Sheets/Docs/Slides) is advantageous.
  • Full fluency in English (both spoken and written) is essential; business proficiency in additional languages (Portuguese, Spanish, Mandarin) is a significant advantage.
