Job Summary

We are seeking an experienced Project Leader and Business Administrator to join our Solutions Group team. The successful candidate will play a critical role in supporting the Solutions Group President and leadership team in executing our organizational strategy, driving operational excellence, and fostering a culture of collaboration and accountability.

Key Responsibilities

  • Strategic Alignment: Collaborate with the Solutions Group President and leadership team to cascade strategic objectives to ensure alignment throughout the organization. Monitor progress against strategic initiatives and provide regular updates to the President.
  • Special Projects: Support special projects of a confidential nature, including potential acquisitions or partnerships, organizational changes, and internal organizational challenges that require special attention.
  • Information Gathering: Identify challenges and opportunities and bring them to the attention of the Group President and/or Solutions Group Leadership Team. This includes gathering information such as financial reports, performance scorecards, and discussions with Solutions Group team members.
  • Administrative Support: Provide day-to-day support to the Solutions Group President, including calendar management, arranging travel, visa applications, expense reimbursement, and invoice management.
  • Visual Communications: Develop slides and visuals needed for leadership meetings and communication events.

Additional Responsibilities

  • Primary Point of Contact: Serve as the primary point of contact for the President, managing correspondence, scheduling, and communications.
  • Correspondence Preparation: Prepare correspondence for the Group President's final approval.
  • Information Provision: Answer routine questions, obtain and furnish information to save the leader's time.
  • Research: Research a wide variety of complex information requests independently.
  • Prioritization: Prioritize, adapt quickly, and work independently to provide high-quality support to the business.

Qualifications

  • Education: Bachelor's degree in Business Administration, Management, or a related field.
  • Experience: 3+ years of experience in a similar role, with demonstrated success in providing executive support to several departments in an international, high-demand environment.
  • Skills: Strong cultural empathy and team-player, relationship-building attitude; strong time-management and priority-setting skills; trustworthy and ethical; good business acumen; detail-oriented with strong analytical skills and organizational skills; good project management skills with knowledge of Excel and/or Google Sheets; good facilitation, customer service, relationship-building, and communication skills; strong leadership skills and ability to influence without authority; comfortable and confident interacting with and presenting to all levels in the organization; excellent problem-solving skills, with demonstrated capability to gather data, draw conclusions, and provide recommendations; outstanding interpersonal skills and ability to build a personal network quickly.
  • Language: Full fluency in English (spoken as well as written) is a must. Business fluency in any additional language (Portuguese, Spanish, Mandarin) is a strong plus.
