Arxada is looking for an Administrative Assistant based in Barcelona, Spain, to support senior management leaders based in Switzerland and abroad.
Key responsibilities:
- Travel organization including flight and hotel bookings (work with Concur and FCM travel agency), help with restaurant reservations
- Organize e-visa if needed
- Create expense reports
- Format files in PowerPoint, Excel and Word
- Schedule internal calls and meetings in Outlook calendar with internal colleagues around the world
- Contact the required colleagues if availability is not visible in Outlook calendar
- Book meeting rooms in our Basel and Visp offices when scheduling f2f meetings at one of our sites in Switzerland
- Create Purchase orders in SAP and process payments
- Circulate and track e-documents that need to be signed by multiple parties
- Organize group bookings for exhibition visits
- General data entry
Key requirements:
- Professional Certificate in Commercial Administration
- Experienced in a comparable position
- Experienced in an international environment is an advantage
- Strong knowledge in MS Office
- Knowledge of Concur is an advantage
- Fluent Englisch verbal and written skills
- Proactive approach and flexibility, strong team player with an open mind set
- Excellent organizational skills, with the ability to prioritize important tasks
