Accounting Assistant

The Accounting Assistant is integral to the Accounting Department, specializing in efficient data management, accurate transaction processing, and maintaining financial compliance. This role is essential for upholding the financial health of the organization by managing the general ledger, processing billing and accounts payable, and crafting and applying financial controls. By maintaining the accuracy, integrity, and promptness of financial operations, the Accounting Assistant aids in strategic financial planning and enhances operational efficiency.
Key Result Areas and Functions: Financial Management and Integrity Document and verify the integrity of financial data and records, adhering to generally accepted accounting principles. Execute and log intercompany billable transactions for all AACI warehouses, as well as other intercompany transactions. Oversee the maintenance and adjustments of general ledger accounts to validate the accuracy and integrity of the books of accounts. Examine and reconcile bank statements to confirm all financial transactions are accurately recorded and reflected in the financial system. Audit financial accounts periodically to identify and amend discrepancies, thus validating the reliability of financial reports. Transaction Processing Process billing and invoices for customers, integrating all data into the accounting system. Administer accounts payable processing based on vendor and supplier invoices, recording transactions accurately in the accounting system. Coordinate the processing of employee reimbursements, verifying compliance with company policies before logging transactions. Manage and reconcile credit card statements and transactions to maintain accurate expense records and guarantee timely payments. Collaborate with procurement and inventory management teams to authenticate and facilitate purchase orders and payments, securing financial accuracy and operational efficiency. Reporting and Compliance Support the timely closing of books and compile monthly financial statements and analyses for management's review. Implement and uphold internal financial controls and procedures, enhancing the financial operations' compliance and effectiveness. Prepare and file VAT, tax returns, and other statutory filings, adhering to local and national tax regulations. Create and sustain documentation for financial processes and procedures, supporting compliance with internal policies and external regulations. Collaborate with external auditors during annual audits, supplying necessary documentation and explanations to facilitate the audit process. Support and Strategic Involvement Engage in the development and implementation of new accounting software or systems, ensuring a smooth transition and minimal disruption to financial operations. Provide financial data and support for budgeting and forecasting activities, contributing to accurate and effective financial planning. Advise departmental managers on cost-control measures and financial decision-making. Analyze and review financial data to discover trends, opportunities for cost savings, and areas for financial improvement. From time to time, additional duties and responsibilities may be assigned as deemed necessary by the organization to meet its operational needs.
QUALIFICATIONS: Bachelor's Degree in Finance/Accountancy or equivalent. Passed Board/Professional License Exam preferred but not required. A minimum of 2-3 years of experience in a financial or accounting role, with a demonstrated track record in managing financial records, processing transactions, and ensuring compliance with accounting standards. Demonstrated knowledge or experience in SAPB1 is highly regarded. Familiarity with accounting software and systems, as well as proficiency in Microsoft Excel and other Microsoft Office applications, to efficiently manage and analyze financial data.
