Your mission The first point of contact for all office employees and visitors at front of house reception. Responsible for ensuring the Company operations run effectively and efficiently. To have strong attention to detail, thrive in a demanding environment and have the ability to tackle competing priorities. This position is pivotal to facilitate operational success by providing a wide range of services in a fast-paced, multi-tasking work environment.
What you'll do Main point of contact at front of house reception where all internal and external visitors will be greeted and assisted in a courteous and professional manner.Ensure the reception area & meeting rooms are maintained in a clean, tidy and secure condition.Responsible for ensuring refreshments in meeting rooms and stationery area are stocked.Meeting room management i.e. conflict of appointments etc.Order and coordinate catering requests.Create and maintain an electronic filing system for work transparency and efficiency.Responsible for mail duties, including distributing post/packages to staff, sending mail, booking local couriers, and international ensuring correct procedures and tracking are maintained.Answer all incoming phone calls and direct inquiries to the appropriate person.Manage office services, such as travel, accommodation, supplies, asset management and disposal of assets.Issue access cards to new starters, visitors & contractors, in line with security restrictions & keep the system up to date.Ensure sufficient stock of office supplies and place orders, including stationery, printer supplies, catering supplies and Thirsty Thursday drinks.Conduct induction office tours for new starters.Co-ordinate with hiring manager and send new starter email.Assist with on-boarding new hires – desk allocation.Ensure visitors receive Welcome Email, allocate desk(s), update systems accordingly & liaise with IT desktop team to ensure weekly set-ups are complete.Assist the Workplace Manager in coordinating company building management issues and maintenance services. Ensuring maintenance record is kept up to date, followed up and reports filed onto the system.Raise purchase orders as required in-line with company procedure.Organize company events and workshops i.e. Christmas, summer party, Learning Labs.Act as a First Aider for the Workplace.Ensure First Aid boxes are fully stocked and compliant.Other administrative duties and projects as required.Thrive in making the office a pleasant and inspiring place to work.What you'll bring Ability to adapt and provide support in a fast-paced, customer-focused environment.Solid experience in a front of House/Reception capacity.Complete fluency in English, both written and spoken is essential.Must have great communication and organisational skills, the ability to multitask, and a willingness to learn and grow.Self-motivated, resourceful, and able to work with minimal supervision.Flexible, driven and team-oriented.Continuous Improvement and Agile mindset part of your DNA.Internet savvy and a comprehensive understanding of Microsoft Office and advanced knowledge of Microsoft applications.Ability to work under pressure, handle multiple tasks, and meet tight deadlines.Hard worker and a proactive problem solver.Well-presented and professional with a friendly and positive manner.What's in it for you Private life and health insurance for you and your family.Four weeks per year to work from anywhere for eligible employees.Gym reimbursement.Company bus lines for convenient transportation applicable for employees Malaga based.Learning Pocket for personal development.3 volunteering paid days each year.Generous referral programme.Workplace perks such as gaming room with darts, pool, ping pong table, foosball, consoles and much more We also enjoy massages and a kitchen stocked with coffee, fruits, nuts and ice cream.Excited about this opportunity?
