Responsible for administrative/logistics for machine including the spare parts and other related reports of the day-to-day related transactions. Provide all protocol, logistics and administration support services. Administration and execute processes and transactions. Support to logistics and facilities management processes.
DUTIES & RESPONSIBILITIES
LOGISTICS

Update the Google Drive Machine Monitoring Movement (Stock, Sold & Incoming)
* Stock: Need Locations/S.N./ Engine/ Damage Report* Sold: Customer' Name /PO No. or SOF No.* Incoming: PO No. & Date/ Order Confirmation & Date / Invoice No. & Date/Shipping Schedule/ Receiving Report
Liaise to the factory for shipping docs needed on machine shipment (Telex BL/Invoice/Packing List/ Insurance/COD or FORM E/AI depends on country origin)
Coordinate to the factory for the delivery of the machine
Coordinate customs broker for the shipping requirements
Make sales contract on machine shipment supporting for shipping docs
Request for local marine insurance for all incoming machines in reference to Invoice and BL
Keep track on machine arrival
Report every 15th of the month for BEC Credit Allocation
Quarterly report for dealer Inventory Machine Stock
Contact person from the Dealer Inventory Machine Stock
Contact person from the factory to all machine order
If invoice already issued from the factory needs to issue on SAP System for accounting reference
Other related matter on Admin-Logistics task

EXECUTIVE SUPPORT

Book appointments for the Managing Director as needed
Make travel arrangements for the Managing Director and other groups as needed
Prioritization of documents for signature
Routing of Materials to different departments for comments / opinions
Arranging Events for the Managing Director in office or out-of-office
Attending to personal errands as needed
Other tasks as delegated by the Managing Director

ADMIN SUPPORT

Check if payment of customers for machine sales has been accurately recorded or processed
Create Costing for Management / Employee Travel Overseas
Liquidation of Expenses as Needed
File the documents of the Managing Director
Creation of Reports as needed
Other tasks as delegated by the Managing Director

OTHER TASKS

Any additional duties & responsibilities that may assigned to immediate Supervisor

QUALIFICATIONS

BS Degree in Administration or any Engineering course or any related course
With at least 2-3 years of related working experience in a similar capacity
Excellent communication and interpersonal skills
Proven ability to direct and coordinate operations
Strong organizational and time management skills
Very discreet. Maintaining strict confidentiality
Familiarity with local trends in dining/food
Familiarity with bank credit card promos / offers
Familiarity with modes of travel (Air/Land/Sea)
Preferably with driver's license but not required

Job Type: Full-time
Pay: Php30,000.00 - Php35,000.00 per month
