Order and Distribution Representative Iberia with Portuguese

Your role

Responsible for Order and Distribution operations, e.g.:

 

•    Manage all sales orders from customers in our ERP system.

•    Ensure order confirmations are sent to our customers, deliveries and related documentation including invoices are sent to respective stakeholders (service providers, customers, other institutions) according to the current policies and within the agreed timeline.

•    Monitor orders/deliveries and manage changes until they are ready for delivery including follow up (order to cash process). 

•    Responsible for all customer and stakeholder communication as 'one point of contact' in relation to all production/order management, i.e., handle all daily operations.

•    Handle all after sales inquiries (Credit Notes, Complaints, Recalls, Delivery issues, Information requests, Expired Products) from customers, as well as support quality in relation to recall situations or other product complaints according to the effective SOPs, or other document (i.e. Standard Operative Procedures, Work Instructions).

•    Ensure order and structure in all documents, files and emails related to tasks and area of responsibility in accordance with agreed standards in LEO to ensure audit readiness. Participate to those audits, inspections, and meetings (i.e for the related project, or stakeholder) where needed.

•    Address, and, if necessary, drive, various ad-hoc tasks/projects related to area of responsibility and in agreement with line manager or additional tasks to balance the workload among team members.

•    Regular contact with service providers to discuss operative and KPI progress

 

You will participate actively in ongoing optimization of routines and methods in collaboration with team colleagues, so that efficiency is continuously improved and adapted in accordance with the current situation. 

 

Your qualifications 

To succeed in this role, we imagine that you have the following qualifications: 

 

The person we are looking for is having experience or educational level within logistics, transportation, management, or economics. We expect you to be detailed oriented, eager to learn, service-minded, engaged by nature, flexible and good at reaching your deadlines.
 
Furthermore, we expect from you to be strong in written and oral in:
- Portuguese (and Spanish if possible)
- English

 

Experience in Order to Cash in Business-to-Business environment

 

Business or supply chain experience within Pharma industry is a plus

 

SAP - competencies on regular user level, SD module

 

Office - competencies on regular user level
