General Description:

The Senior Assistant Medical Affairs will be responsible for providing support to the local X-functional team of BeiGene in Spain and Portugal with specific dedication to EU Medical Affairs functional team. Key focus on purchasing processes, contracting, vendor management, event support , team support, support in development of materials and local internal local /(external) communication assistance. 

The Senior Assistant Medical Affairs reports to the General Manager, Spain and Portugal.

Essential Functions of the job:

General Administration

Provide general administrative/project support to the local X-functional team of BeiGene in the country with specific dedication to EU Medical Affairs functional team and local X-functional team in the country Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents Organize mail, couriers Support in organization of internal meetings and such with HCPs and partners, including catering Support in management relationships with vendors, service providers Vendor on-boarding, contract management and raising PO’s Assistant support in cooperation with 3rd parties Assist with travel arrangements for the leadership as back up Support in management of local opex: raising PO, invoice management and tracking of opex Assist in on-boarding plan for new hires within Medical Affairs team Other duties as assigned by General Manager

Business Support

Support in external live and digital events (congresses, workshops etc) in cooperation with local team and /or agencies Assistant support in cooperation with HCPs Support in preparation of medical materials according to needs of team Support in internal material approval and documentation process Support in Congress and conference planning and administration First point of contact for General Network enabling for EU medical team

Communication

Supporting in communication projects and production of communication campaigns

Compliance

Support in structuring and managing processes and regulations ie Support for compliance activities as local declaration/authorization, participation to legal review of agreements with healthcare professionals, hospitals, organizations, etc., participation to Personal data protection implementation Be familiar with the ABPI, IPHA, Farmaindustria codes as required knowledge (read and understood) TOV data collection

Computer Skills: Good to advanced knowledge of Microsoft Word, Excel, PowerPoint, SharePoint, Outlook and SAP

Qualifications:

Minimum of 5 + years’ experience assisting high level leaders; multiple disciplines a plus Previous experience in the pharma industry is an advantage Written and verbal fluency in local language(s) and English. Preferably experience of procurement, finance and event support Strong interpersonal skills, can do attitude and problem-solving skills Able to multi-task, be structured, and meet compressed timelines Ability to work in a diverse, dynamic and fast-changing complex environment Strong collaborative spirit is essential Accustomed to deliver high quality results and strives for constant improvement Activities might include exposure to confidential and sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment

Travel: Limited travel expected. This is an office base position with flexibility
