Description
The Administrative Assistant, Global Medical Affairs (GMA) is a key support function role in Galderma, ensuring high-level support to the Global Head of Medical Affairs and general administrative support related to the Global Medical Affairs (GMA) organisation.
The Administrative Assistant in this role will have to demonstrate agile skills in multitasking and delivering in a timely manner planned activities.
Key Responsibilities
Organize and manage business trips, coordinate travel arrangements (flights, hotels, visa, dinners, schedules etc.) and expenses reporting for Global Head of Medical Affairs.
Manage and support with Galderma tools and systems (Concur, COUPA, DocuSign etc.)
Oversee HCP engagement contracting Create PR/PO Ensure widespread support with Galderma tools and systems.
Manage complex calendaring and facilitate the integration and prioritization of business activities for the Global Head of Medical Affairs.
For the Swiss based GMA Leadership Team (LT) members, the Administrative Assistant will manage general calendaring and facilitate the integration and prioritization of business activities for GMA LT related topics. This responsibility includes widespread support with Galderma tools and systems (COUPA, DocuSign etc.).
For the Prescription Medicines teams, the Administrative Assistant will oversee HealthCare Provider (HCP) engagement.
Ensure PR/PO creation for all vendors collaborating with the teams and ensure general support with Galderma tools and systems (COUPA, GALAXY, DocuSign etc.).
The Administrative Assistant will handle general communication related to GMA in accordance with the Global Head of Medical Affairs and GMA LT, including support with on-site logistics for quarterly GMA Townhalls in collaboration with Global IT support and Zug Office management teams.
Skills & Qualifications
Secretarial studies, translation or Bachelor level education
Holding a CAP (Certified Administrative Professional), or PACE (Professional Administrative Certificate of Excellence
Holding certification of Microsoft Office Specialist (MOS)
Minimum of 8 years’ experience as administrative assistant.
Experience in Oracle, SAP, Concur, COUPA, DocuSign
