Job Description
The Document Controller is responsible for managing the creation, distribution, revision, control, storage, and retrieval of engineering and maintenance documentation by applying document control standards, electronic document management systems, version control processes, metadata requirements, and coordination routines to ensure technical information is accurate, current, compliant, and easily accessible to project teams, maintenance staff, and engineering stakeholders. This role supports engineering, project, construction, operations, and maintenance activities by maintaining controlled documentation workflows, validating technical records, supporting document package compilation and close-out, and improving document quality and traceability so that teams work from reliable information throughout the documentation lifecycle. Responsibilities Reporting to the Project Director, the Document Controller is responsible for:
• Maintain, organise, and update engineering and maintenance documents by applying company standards, document numbering, coding, metadata, formatting, and file storage rules to ensure information is accurate, consistent, traceable, and easy to retrieve.
• Manage document workflows by coordinating creation, review, approval, issuance, controlled distribution, archiving, and revision histories to ensure teams work with the latest approved technical documentation.
• Control engineering project records by maintaining design packages, drawings, specifications, procedures, manuals, reports, vendor data, as-built documentation, maintenance files, and controlled copies to support project execution and operational continuity.
• Administer electronic document management systems and collaboration platforms by managing folder structures, user permissions, workflows, document status updates, and basic user support to enable secure and efficient document control processes.
• Coordinate document flow across engineering, procurement, construction, operations, maintenance, contractors, and external stakeholders by acting as the focal point for distribution, notifications, and deliverable tracking to support timely decision-making and execution.
• Support the preparation of engineering documentation packages by compiling design deliverables, RFI responses, test records, vendor dossiers, construction records, and close-out files to ensure complete and validated project documentation.
• Ensure compliance with regulatory, quality, project, engineering code, and internal documentation standards by checking document classification, tagging, searchability, storage, and version control to maintain data integrity and audit readiness.
• Perform regular documentation audits by reviewing file accuracy, revision status, missing information, discrepancies, and non-compliant structures to identify and resolve issues before they affect project or operational activities.
• Maintain trackers, logs, and reports on document progress, approvals, changes, and deliverables by updating control tools and communicating status clearly to support visibility, accountability, and timely completion of documentation requirements. Qualifications
• Degree in engineering, technical administration, information management, or a related field.
• 2–5+ years of experience in document control, preferably in engineering, construction, manufacturing, energy, or industrial sectors.
• Training or certification in document control principles is an asset.
• Experience with electronic document management systems or project collaboration platforms, with strong proficiency in Microsoft Office and SharePoint; familiarity with PDF markup tools and technical file formats.
• Understanding of engineering drawings, technical terminology, engineering design workflows, project documentation conventions, and documentation lifecycles.
• Exceptional attention to detail, accuracy, organisation, data quality, integrity, communication, coordination, and ability to manage multiple priorities and deadlines.
• Experience supporting multidisciplinary engineering teams is highly desirable.
