Role Description

This is a full-time on-site role in Madrid for a Front Desk Receptionist. The Front Desk Receptionist will be the first point of contact for clients, responsible for welcoming guests, managing bookings, answering phone inquiries, and maintaining the front desk area. The role involves administrative and clerical tasks to ensure smooth front-of-house operations, as well as providing exceptional customer service to all clients and visitors of Olimpia.

Key Responsibilities

Front of House & Client Experience

  • Act as the primary point of contact for all clients and visitors, ensuring a welcoming and professional environment aligned with Olimpia's customer service standards.
  • Manage studio bookings, inquiries, and daily communications to guarantee smooth operations.
  • Oversee client check-ins, class transitions, and studio tours, ensuring each guest receives a personalized and memorable experience.
  • Maintain the studio's aesthetic and atmosphere, ensuring every detail reflects Olimpia's brand values.

Customer Relationship Management (CRM)

  • Manage and maintain the studio's CRM system, ensuring accurate and up-to-date client information.
  • Support client journey mapping — from first contact to ongoing membership experience.
  • Collect and address client feedback promptly and professionally to enhance overall satisfaction.
  • Implement systems that elevate communication, retention, and loyalty within the client community.

Client Attraction & Retention

  • Assist in the development and execution of client attraction and retention strategies, including outreach, promotional initiatives, and community events.
  • Track and analyze client engagement metrics to identify opportunities for improvement.
  • Maintain communication with prospective and current members, sharing updates on new offerings, promotions, and studio news.

Studio Stock & Inventory

  • Monitor and manage inventory levels, including studio supplies, retail items, and amenities.
  • Coordinate with vendors and suppliers to ensure timely restocking and smooth day-to-day studio function.

Ideal Candidate Profile

  • Previous experience in hospitality, wellness, or fitness environments preferred.
  • Excellent communication and interpersonal skills, with a warm and professional demeanor.
  • Highly organized, detail-oriented, and proactive in managing multiple priorities.
  • Tech-savvy — experience with CRM systems, booking platforms, and basic administrative software.
  • Fluent in Spanish and English (written and spoken).
