Role Overview

Are you a detail-oriented problem-solver who thrives in a fast-paced environment?

We're on the hunt for a Supply Chain & Admin Support specialist to become the backbone of our operations in Bilbao. This role is all about keeping things running smoothly, from managing SIM and hardware orders to ensuring our customers get exactly what they need, exactly when they need it. You'll be working closely with various internal teams, from customer service to logistics, to keep our operations slick and efficient. Reporting to [Insert Manager's Title], you'll be a key player in our energetic Bilbao team, ensuring seamless coordination between departments and external carriers.

Your Daily Quest (Key Responsibilities):

  • CI (Continuous Improvement) Identification across the processes you use
  • Prepare and dispatch customer orders for SIMs and hardware, ensuring everything is spot-on and gets out the door on time.
  • Handle SIM activations and other order requirements, ensuring all technical details are covered.
  • Track shipments like a pro, coordinating with carriers to iron out any delivery bumps and keep customers in the loop.
  • Keep customers updated regarding shipment date and method, status and answering questions relating to pending/completed orders
  • Manage inventory and packaging supplies, making sure we're always stocked up and our warehouse is organized.
  • Process and manage returned stock
  • Raise customer SIMs and hardware orders using Sage X3 system
  • Work with internal teams planning for forecasted orders
  • Commercial support activities including management of cancellations, bespoke agreements, tariffs, and one-off charges; customer contract documentation via DocuSign, resolution of usage and order queries, and setup of advanced services and dedicated APNs
  • Triage incoming support tickets, prioritizing urgent requests and directing them to the right team to meet those all-important SLA timelines.
  • Manage and complete outstanding cases within SLA timescales
  • Monitor queue on Zendesk ticketing system for outstanding order requests to be processed
  • Use dashboards to prioritize daily activities and issue tracking.

Skills Required

  • Excellent verbal and written communication skills
  • Excellent attention to details is essential
  • Must have the ability to work unsupervised and on own initiative
  • Highly organised coupled with the ability to prioritise effectively
  • Ability to thrive in a high pressure, fast paced work environment
  • Experience of using Excel, Power point and Word
  • Excellent team player, personable and able to operate at all levels
  • The position consists of occasional physical requirements (moderate lifting and carrying.)
  • Experience of Sage would be advantageous
  • Experience within the M2M/IOT industry would be advantageous
  • Knowledge of 4G router hardware would be advantageous
  • Experience of programming / scripting languages would be advantageous

Experience

  • A minimum of 1 years' experience within a Supply chain environment role.
  • Must have had exposure to working with complex customer procedures, preferably within a Customer Success environment.
  • Experience of supporting customer requirements via omnichannel dispatch
  • Previous experience operating within a business of large contracts within the services/telecommunications industry would be highly advantageous.
