This role bridges the gap between project management, order processing, and technical office coordination. The successful candidate will lead the management of the technical office workload, prioritize tasks based on quarterly risks and opportunities, and serve as a key reference for the Product Lifecycle Management (PLM) system. The ideal candidate combines strong operational skills in SAP (or similar ERP), experience with PLM systems, and the ability to collaborate across departments to ensure seamless project execution, technical documentation management, and digitalization initiatives.Job Description
Key Responsibilities:
Lead the management and prioritization of technical office workload, aligning task execution with quarterly risk assessments and identified opportunities.
Translate project execution plans into order book entries, ensuring accurate registration of customer and internal orders in SAP (or equivalent ERP).
Release purchase requisitions and coordinate with procurement and logistics for timely sourcing and delivery of project materials/services.
Support Project Managers through backlog analysis, order status updates, follow-up on deliveries, preparation of required documentation, and project schedule support.
Serve as a liaison between Project Management, Order Entry, Procurement, Production, Logistics, and Engineering to ensure effective information flow and project execution.
Support engineering teams in the development and execution of project documentation, including declarations of conformity and all required technical records.
Oversee the loading and management of engineering data into the Product Lifecycle Management (PLM) tool via Engineering Change Orders (ECO), acting as the reference executor and operational lead for the team within the PLM system.
Periodically maintain project-related data, ensuring its accuracy and availability for reporting and decision-making.
Track materials and deliveries; coordinate shipment activities and ensure compliance with contractual and project-specific requirements.
Maintain accurate records of blocked orders, pending actions, and relevant performance indicators.
Support digitalization and automation initiatives within the department, including the use of IT tools and development of small automations to optimize processes.
Ensure compliance with EHS guidelines and company procedures in all activities.
Required Qualifications:
Bachelor's degree in Business Administration, Engineering, or a related field (qualification management experience is highly valued).
Prior experience with SAP (or similar ERP systems) and PLM tools for order entry, order tracking, technical documentation management, and Engineering Change Orders.
Demonstrated ability to manage technical office workload and prioritize tasks based on risk and business opportunities.
Experience supporting project-driven order management and backlog analysis in an engineering or industrial context.
Strong organizational skills, attention to detail, and ability to manage multiple priorities.
Excellent communication skills with a customer- and team-oriented approach.
Proactive problem-solver with the ability to anticipate issues and drive solutions.
Proficiency in digitalization and automation, with good command of IT tools and experience developing small automation solutions to improve departmental efficiency.
Preferred Qualifications:
Familiarity with project management processes and documentation requirements.
Knowledge of logistics, procurement, and supply chain processes.
Fluency in English and Spanish; additional languages valued.
Additional Information:
This role is critical in ensuring seamless translation of project needs into operational and technical execution, supporting order management, engineering teams, and digitalization initiatives, and acting as the operational lead for the PLM system to enable successful and timely project delivery.
