Overview:
**IE IMPACT** is a transversal academic program, totaling 21 ECTS, required of all IEU undergraduate students. Consisting of courses in the
**Humanities**,
**Technology** and
**Entrepreneurship**, IE IMPACT reinforces these three foundational pillars of IE University, and centers Diversity and Sustainability throughout the entire learning journey, which culminates with the
**IE Challenge**.
The Program Coordinator of IE Impact reports to the IE Impact Executive Director and is primarily responsible for the academic operations of the four courses in the IE Impact Learning Journey.
We are looking for a motivated and team-oriented individual who is enthusiastic about higher education innovation and working with undergraduate students, as well as entrepreneurship, innovation and technology, the humanities, diversity and sustainability.

**Key Action Areas**:
- Coordinates the academic operations of the four IE Impact courses (Humanities, Technology, Entrepreneurship and IE Challenge).
- Manages and develops expertise in Atenea, IE’s internal student management software, including the inputting and management of complex enrollment processes.
- Provides faculty with the necessary support and information about schedules, students list, deadlines, and general procedures to run their courses.
- Provides the Academic Directors, Associate Director, and Executive Director with the necessary support.
- Coordinates faculty meetings in conjunction with the three IE Impact Academic Directors and the IE Impact Executive Director.
- Provides support to faculty with IE Liquid Learning and BB Ultra as required
- Proactively manages the relationship with students before and during the program, provides them with relevant information, solves problems, answers questions, and refers them to the Directors (Academic, Associate or Executive) when appropriate, follows up on their attendance authorizations and justifications with their individual bachelor programs.
- Keeps track of the students’ status (_dispensas_, gap years, dropouts, special accommodations, etc.) and manages the information accordingly.
- Proactively manages the relationship with the different Bachelors’ degree programs: assistants, program coordinators and associate directors.
- Prepares academic information: informative documents, _actas_, _anexos_ and tracks resitters and retakers for IE Impact courses.
- Coordinates with other university departments, such as planning, faculty, IT, Business Intelligence, Publishing, Marketing, Communications, etc.
- Communications: Database compilation, Power Point presentations.
Humanities Self-Enrollment & Add/Drop:
- Takes lead on planning, preparing, executing and follow-up of Enrollment in the IE Impact Humanities
- In conjunction with Exec. Director and IE Impact-Humanities Academic Director/Academic Coordinator, defines dates for registration and dates for add/drop.
- Meets with IT staff to ensure effective and efficient programming of enrollment platform (IE Plus or other system).
- Content management and uploading of all syllabi, faculty bios and graphics to IE Plus site.
- Validates (via testing) platform in conjunction with IT.
- Prepares info session materials to explain to students how to navigate the IE Plus site to discover courses and then enroll.
- Arranges Info Session for all 5 school’s program direction
- Arranges Info Session for all first-year students, coordinating Zoom Webinar with IT, and presents and explains the procedure to students.
- Follows-up with students who did not enroll, and subsequently enrolls all remaining unenrolled students into one of the courses.
- Prepares Add/Drop with IT and Planning, and in collaboration with the Academic Director, manages the IE Humanities inbox to process manually the add/drop requests.
General administration duties such as:
- Performs administrative tasks such as coding invoices, uploading expenses, and processing special payments and reimbursements in Dynamics 365; booking trips through CYTRIC or managing advances.
- Manages IE University platforms: Atenea, Redmine, BB Ultra, CampusGroups, Dynamics, Cytric, etc.
- Organize and schedule meetings and appointments
- Meet with students and delegates as required
- Maintain contact lists
- Produce and distribute correspondence memos, letters, and forms
- Record processes and upload to SharePoint
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies
- Book travel arrangements
- Submit and reconcile expense reports, prepare and monitor invoices
- Develop administrative staff, interns and fellows by providing information, educational opportunities and experiential growth opportunities
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
