**MISSIONS**:
**The position **Based in Madrid, Deepki is looking for an Administrative & Office Assistant to help the Country Manager and the Spain team, with a close relationship and coordination with the head office in Paris (France).
**MISSION**:
**Human Resources Administration**:

- Collecting documents required for the establishment of employment contracts and payroll and send them to HQ
- Helping on all HR local administration such as administrative procedures with social security, fiscal administration, company doctor,...
- Registration of employees for health/life/disability insurances as well as pension
- Management of meal voucher loads
- Any other task related to HR administration

**Administration**:

- Management and drafting of document requests / questionnaires for clients
- Collecting supplier invoices and various accounting elements on behalf of the parent company
- Management of team travels, meetings / events with customers or external stakeholders
- Helping on Country Manager day-to-day calendar, expense reports,...
- Any other tasks related to company administration

**Office management**:

- Ensuring the workplace comfortable for employees and meet all safety, hygiene, security regulations and policies
- Managing the office space, the relation with the owner or building manager, be in charge of all technical issues.
- Organizing events / meetings...
- Ordering and monitoring of IT equipment (computers, telephones, office equipment,...) in close collaboration with HQ
- Any other tasks related to management of the office including beverages & food (when applicable) for employees / customers

- Ability to multitask and manage multiple requests from various stakeholders
- You have a tireless positive attitude
- Great rigor and commitment
- Strong communication skills
- You love getting to know new people and helping them
- 1 + years of administrative & office assistant experience
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
