Junior Facilities Assistant

Job description

We are looking for a Junior Facilities Assistant to assist and maintain a safe and well-functioning working environment.

Part of your job will be to regularly check equipment, facilities, and systems (e.g. fire alarms and air conditioners) and identify repair and/or maintenance needs. He/she will also coordinate external suppliers, such as cleaners and hard services.

You will need to be well organized and able to prioritize multiple issues. You will also need to have a basic knowledge of office equipment.

**Requirements and competencies**:
Basic working experience as facilities coordinator or similar role;
Basic knowledge of office equipment and security systems;
Well organized;
Good ability to think quickly during emergencies;

**Responsibilities**:
Supervise office and coordinate with maintenance /service providers, repairs to be carried out in the office including glass sliding doors;
Management and tracking courier shipments (50%). Keep updated delivery addresses as per lists received from HR;
Delivery/distribution of ordinary mail to addressees (in future to be placed in pigeonholes). Hand over certified mail and /or burofax;
Support the Reception/Front Office team;
Attend office supplies from employees;
Together with Finance AC, communicate, prepare and manage the shipment of documentation to the Documentation Archive provider twice a year;
Cafeteria - aligned with Finance AC, act as a point of contact for vendors for any matters, requests, or complaints from staff or vendors;
Replacement of consumables (paper) in the printing areas;
Replacement of water fountains jugs;
Communicate incidents to WTC PAC affecting common areas;
Stock control of office supplies and coffee consumables;
Control/ maintenance of storage rooms (2) located in the parking area;
Keep clean and tidy Facilities Room;
Replacement of DCD sacks;
