**Context**

Under the overall supervision of Director, ICT and the direct supervision of Head, Resources Management, the ICT Contract Management Associate will work in close collaboration with ICT project managers and IOM business units and will be responsible for carrying out the full cycle of ICT Contract Management in the ICT department in accordance with IOM’s regulations, rules and procedures with the guidance of the Head Resource Management.

RESPONSIBILITIES
Assist in coordinating and executing end-to-end ICT contract management cycle from pre-award phase, award phase, management/development phase, end of contract lifecycle phase, by supporting procurement documentation, maintaining contract records, tracking deliverables and deadlines, facilitating alignment with organizational goals, business needs and compliance standards.
- Assist the coordinating with Project Managers to support the identification of ICT related requirements and contribute to the preparation of contract documentation and plans, with a focus on outputs and deliverables.
- Support the RMO by conducting market research and gathering information on potential suppliers, to inform the development of Long-Term Agreements (LTAs) in line with organizational needs.
- Provide daily support in monitoring contract management activities, to help facilitate timely processing and execution of contract agreements.
- Act as a focal point for routine contract-related inquiries, providing support on service delivery follow-up, contract obligations, and payment status.
- Assist in maintaining the ICT Contract Database, verifying it is regularly updated with essential contract elements throughout the Procure-to-Pay process, under the guidance of the ICT Contract Administrator.
- Assist in the preparation of a centralized contract database storage system that is easily accessible and retained.
- Assist in tracking and maintaining the master service agreement and provide regular updates to the supervisor for the main deliverable outputs, main milestones, deadlines, payment dates and notice periods. Document supplier performance and regularly check compliance with agreed terms and conditions in coordination with Project Managers.
- Perform such other duties as may be assigned.

**QUALIFICATIONS
Education**
- High school diploma with five years of relevant professional experience, or;
- Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution with three years of relevant professional experience;
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

**Experience**
- Knowledge and use of advanced Microsoft Offices.
- Hands-on experience with the use of ERP system.
- Excellent knowledge of public sector procurement and logistics rules and procedures or a similar organization such as the UN.
- Knowledge of accounting systems, software and procedures.

**Skills**
- Ability to prepare clear and concise reports and coordinate administrative activities.
- Good oral and written communication skills.Good analytical and report-writing skills.
- **Languages**

IOM's official languages are English, French and Spanish.

For this position, fluency in English is required (oral and written). Working knowledge of an official UN Language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.
