We continue to strategically expand our global reach with over 40 acquisitions since 2012 - and we're just getting started. **Your role**: - Administrative duties including general office operations and vendor management. Managing office administration, ordering supplies, and managing providers to assure smooth office operations. - Partnering with the Finance & Operations Team on managing office budget, processing expenses, and ensuring all purchases are invoiced and paid on time. - Reception, greeting, and assisting our visitors. Facilities point of contact. Acting as the first point of contact for employees on any aspects related to office experience, equipment needs, policies, etc. - Onboarding assistance for new employees, including office tour, equipment, welcome package delivery, etc. - Coordinate inbound and outbound office mail. - Ensure office space and meeting room is kept tidy and presentable. Oversee stock of office supplies. Order office badges for new employees, contractors, and visitors. - Organizing the office layout (hot desking), equipment, supplies, and inventory. Keep track of employee and company equipment with the support of the IT team. - Arranging business travel, transport, and accommodation for Associates. Manage the Travel Expenses of the Associates according to the IM policies. - Responsible for implementing and maintaining all office related procedures. - Cater for the office and for events including meetings, and internal events (coffee, food, fruit for kitchen/meetings/conferences/managers/executives when needed). - Contribute to the organization of the annual company events (Summer Party, Christmas Party). Support and lead management activities for the Barcelona team. - Support for the organization of the company's booth at IT events/congresses/meetups in Barcelona. - Administrative processes in onboarding and offboarding. - Support to CSR activities in Barcelona. - Hot-Desk & Parking management. Ensure that the Barcelona office is a well-kept space with an inspiring working atmosphere. - Support in the monthly ISO27001 audit processes. - Support the creation of a new intranet & playbook for Associates. - Coordination of risk prevention. - Help drive a culture of continuous improvement. **What you bring to the role**: - Fluency in English and Spanish. - 3-5 years of work experience as an Office Manager, Administrative/Operations Assistant or similar role. - Good level in Microsoft Office365 (Word, Power Point, Excel, Outlook, Teams and SharePoint).
