WebCargo digitizes global freight sales for over 2,000 of the world’s largest logistics providers and carriers. Or, in plain English, we help move the world, offering incredible technology that powers almost a third of the global air cargo market. We’re not alone either. WebCargo is a proud part of the Freightos Group, a logistics technology company that aims to make global trade frictionless. That’s not cheap, so we’ve raised nearly $100 million from investors like GE Ventures, the Singapore Exchange and Aleph, making and have gotten the BBC, TechCrunch, and the Wall Street Journal excited about freight. Turns out it’s kind of a big deal. As one of the largest tech platforms for a huge industry (the phone or computer you’re reading this on was, after all shipped), we’ve been crushing it with double-digit growth, year after year. But without the right person to keep everything ticking like a Swiss clock, it’s really hard to bring global freight online. REALLY hard. So we’re looking for an Office Manager (or, as we prefer to call them, Office Orchestra Conductor) to coordinate and manage administrative duties in our (beautiful Torre Glòries) Barcelona office and support our remote employees too. We make freight work, you keep the office operating efficiently, and smoothly. You will be responsible for greeting visitors, managing office supplies, and supporting staff with administrative tasks along with our Finance and HR Team. Oh, and you’ll also take care of our pet tiger (okay, not really, but wouldn’t that be pretty cool?) **Responsibilities** - Assist in the onboarding, offboarding and ongoing processes for employees: Paperwork preparation, signature, benefits management, Risk Prevention supervision, etc. Make sure all employees’ documents are organised in a compliant way. - Making sure our awesome employees, both in Barcelona and fully remote, have what they need to get their job done, organizing the office layout, and ordering stationery, equipment, onboarding and offboarding for employees. - Serve as the point person for office manager duties including maintenance, mail (yes, as weird as it sounds, mail is still a thing), supplies, equipment, bills, errands, shopping, etc. - Provide general support to visitors. - Address employees’ queries regarding office management issues (e.g. stationery, tiger feeding time, Hardware, and travel arrangements). - Plan in-house or off-site activities & initiatives, like parties, gifts celebrations, and conferences. So if someone needs to taste all the desserts at an event hall before we show upit’s going to be you - Maintain the office condition and arrange necessary repairs. Liaise with facility management vendors, including cleaning, catering, and security services. - Do you know what all the cool offices have? Policies. You’ll work with our HR team to make sure they are updated and maintained, and you’ll ensure people follow them. - Organize office operations and procedures. Like, what everyone needs to do if our pet tiger gets angry. - Coordinate with our IT department to keep office equipment ship-shape. When those brand new printers, PCs or laptops come in, you’ll get to unbox them and get them up, and running, and part of the Freightos family. - Assist with basic technical issues, questions, and problems in a timely manner. If things get worse, our IT Team is there to help. - Getting 20% off at Uniqlo is nothing. You’ll manage contract and price negotiations with office vendors, service providers, etc. - Participate in other HR Projects. **Requirements**: **Basic qualifications** - Excellent written and verbal communication skills both in English and Spanish. - Outstanding interpersonal skills and results-driven with a "can-do” attitude and strong common sense. - Strong organizational and planning skills in a fast-paced environment, self-motivated, independent, and a team player. - A creative mind with the ability to suggest improvements to our Office and HR processes. - We want to be friends. You’re a strong relationship builder. - Proven experience as an Office Manager, Front Office Manager or Administrative Assistant. - Proven performance in delivering business or first-class customer service. - Knowledge of Office Administrator responsibilities, systems, and procedures. - Basic hands-on experience with office machines (e.g. phones, laptops, and printers) - Excellent time management skills and ability to multi-task and prioritize work. Cause, as you can see, there’s a decent amount of it. - Attention to detail and problem-solving skills. - Understanding that we don’t actually have a tiger. **Preferred Qualifications** - Experience with in-office basic IT support for employees. - Additional experience in HR. - Experience using creative tools such as Canva and giving support to HR departments with Employer branding activities and or content creation. **Why is WebCargo exactly where you want to work?** - Loca
