Coordination and Communication:

- Act as a point of contact between the regional office and various departments, headquarters, and external partners.
- Coordinate meetings, appointments, and travel arrangements for regional executives and visiting personnel.

Procurement and Vendor Management
- Monitor stock levels and purchase office equipment and consumables through the relevant procurement processes.
- Oversee service delivery from external vendors and ensure adherence to service-level agreements
- Ensure contracts are in place and renewed for the office's vendors.
- Engaging with relevant stakeholders to ensure maintenance of the building, internal facilities and office equipment.

Finance, administration and support
- Assist with general and HR administrative and coordination activities.
- Ensure effective storage of office records and documentation.
- Provide input for office budgeting.
- Track expenses and escalate deviations with management.
- Provide reports on office expenditures, such as petty cash expenses.
- Facilitate office finance processes and perform basic reconciliations.
- Calendar organisation, minute taking for the leadership team meetings.

Events and Branding support
- Organize and manage regional office events, meetings, seminars, and workshops.
- Assist in planning and executing company-wide events or conferences hosted by the regional office.
- Manage and maintain the company social media page. Updating, posting and responding.

Processes and improvement
- Ensure awareness amongst all employees, visitors and vendors of relevant office management policies and processes.
- Obtain feedback from office employees, vendors and visitors to recommend office and process improvements to relevant stakeholders.

Qualifications and Skills:

- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience (2+ years) in administrative or office coordination roles.
- Fluent in both Spanish and English, with exceptional written and verbal communication skills in both languages.
- Proficiency in using Microsoft Office Suite
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Customer-focused attitude with strong interpersonal skills.
- Adaptability and ability to work in a fast-paced environment.
- Problem-solving skills and ability to handle unforeseen challenges.
- HR administration experience will be advantageous.
