Core purpose of the role is coordinate and manage any office projects, maintain office environment and manage relationships with suppliers, contractors, governmental authorities, ensuring all legal requirements and smooth operational flow of the office.
**What you will do**:
- Building relationships with suppliers and contractors: manage contacts, budget, negotiating prices and sourcing quotations when necessary (10 vendors) and working closely with the Finance department to ensure suppliers and contractors are paid on time (purchase orders, invoices etc.)
- Coordinate and manage office projects and maintain office environment (e.g. office upgrades, facilities, refurbishment, repairs, cleaning, flowers maintenance, design changes, ect.)
- Order proactively supplies, stationery, and food & beverages, organize catering when necessary.
- Implement office policies and procedures, measure outcomes against standards, and improve operational flow.
- Be responsible for Health and Safety and Fire Risk assessment, ensure the company meets local regulation standards.
- Relations with governmental authorities - Hacienda (tax office, townhall, etc)
- Support with emergency management and business continuity planning (BCP)
- Contribute to organizing company events (off-site meetings, executive meetings, afterworks, Summer/Christmas party etc)
- Greet visitors and direct them as appropriate (this may involve supporting them to navigate through the offices) with a positive and friendly attitude while controlling externals and visitors to maintain office security by following safety procedures
- Courier package and external/internal mail management
**Who you are**:
- Native Spanish Speaker and fluent in English
- Excellent verbal and written communication skills
- Excellent decision-making skills with the ability to assess multiple options and identify the best choice to serve a specified goal
- Able to perform in fast-paced environments and often changing environment whilst keeping a pleasant manner
- Solid stakeholder management and relationship building skills
- Excellent organisational skills and attention to detail
- Proficient with Microsoft Office Suite or related software
