PURPOSE OF THE ROLE

The HR Coordinator will provide operational and administrative support across the full employee lifecycle, helping ensure an efficient, consistent and positive employee experience.

Working closely with the HR Director, the role will support recruitment, onboarding, employee records, payroll administration, benefits, HR systems, internal processes and compliance across WTTC’s international workforce.

This is a hands‑on role requiring strong organisation, attention to detail, discretion and the ability to manage multiple priorities in a fast‑paced and international environment.

KEY RESPONSIBILITIES

1. Recruitment and Selection

  • Coordinate recruitment processes, including publishing vacancies, reviewing applications and scheduling interviews.
  • Maintain accurate candidate records and provide timely communication throughout the selection process.
  • Support the preparation of interview materials, evaluation forms and recruitment reports.
  • Coordinate with hiring managers and external recruitment partners when required.
  • Assist with reference checks, right-to-work documentation and pre-employment requirements.
  • Support the preparation and administration of employment offers.

2. Onboarding and Offboarding

  • Coordinate the onboarding process for new employees, contractors and interns.
  • Prepare onboarding documentation and ensure all required information is collected before the start date.
  • Coordinate with IT, Finance and relevant departments to arrange equipment, system access and induction meetings.
  • Maintain onboarding plans and monitor completion of required activities and training.
  • Support probation-period tracking and related documentation.
  • Coordinate offboarding activities, including documentation, system notifications, exit interviews and return of company property.

3. HR Administration and Employee Records

  • Prepare employment-related documentation, including contracts, amendments, confirmation letters and other HR correspondence.
  • Maintain accurate and confidential employee records and personnel files.
  • Keep the HR information system updated with employee, absence, holiday and contractual information.
  • Monitor contract dates, probation periods, visa or work permit expiry dates and other relevant deadlines.
  • Support the administration of annual leave, sickness absence and other types of leave.
  • Ensure HR documentation is properly filed and handled in accordance with data‑protection requirements.

4. Payroll and Benefits Coordination

  • Collect, verify and prepare monthly payroll inputs, including new starters, leavers, salary changes, absences and other relevant information.
  • Coordinate payroll information with Finance and external payroll providers.
  • Support employees with routine payroll‑related questions and escalates complex matters when necessary.
  • Administer employee benefits, including health insurance, travel insurance and other company programmes.
  • Maintain accurate benefit‑enrolment records and communicate changes to providers.
  • Support periodic reviews of payroll and benefit information.

5. Employee Support and Engagement

  • Act as an accessible first point of contact for routine employee questions regarding HR processes, policies and benefits.
  • Provide employees with accurate information and refer sensitive or complex matters to the HR Director.
  • Support internal communications relating to HR initiatives, policies, training and company activities.
  • Assist with staff meetings, engagement activities, surveys and team events.
  • Contribute to a positive, inclusive and collaborative working environment.

6. Policies, Compliance and Training

  • Support the implementation and communication of HR policies and procedures.
  • Maintain records of mandatory training and follow up on outstanding completion.
  • Assist with documentation required for employment‑law and regulatory compliance.
  • Support the preparation of information for audits, legal advisers and external providers.
  • Help ensure that HR processes are applied consistently across the organisation.
  • Handle personal and confidential information with the highest level of discretion.
