As an HR Specialist & Payroll Administrator, you will play a key role in supporting our people across multiple EMEA countries, managing end-to-end HR operations and payroll from our office in Spain. You will ensure a seamless and consistent HR experience, maintain compliance with local labor regulations, and collaborate closely with external payroll partners. This role is ideal for a detail-oriented and highly organized HR professional who thrives in a dynamic, multi-country environment. HR Operations & Administration Act as the first point of contact for employee queries related to HR policies, payroll, benefits, and HR systems. Manage employee lifecycle processes: onboarding, employment documentation, probation management, and offboarding. Maintain accurate employee records in HRIS, ensuring data integrity and confidentiality. Review employee benefits programs on an annual basis and collaborate with third‑party providers to ensure offerings remain up to date, competitive, and aligned with market practices. Coordinate employment contracts, amendments, and country‑specific legal compliance requirements. Support the implementation of HR policies, procedures, and best practices across all EMEA locations. Payroll Administration Manage full‑cycle payroll processing across multiple EMEA countries in collaboration with external payroll vendors. Validate monthly payroll inputs, including new hires, terminations, salary changes, bonuses, overtime, leave records, and benefits. Review and approve payroll reports, ensuring timely submission of payments to employees and statutory authorities. Ensure compliance with statutory reporting requirements (tax filings, social security, pension contributions, etc.). Maintain and update payroll documentation, internal controls, and process workflows. Compliance & Governance Ensure compliance with local labor laws, GDPR, and internal company policies across all EMEA entities. Stay updated on legislative changes affecting payroll, working conditions, and employment regulations. Prepare and maintain HR and payroll documentation (handbooks, procedures, compliance reports). Assist with internal and external audits, providing required payroll and HR documentation. Employee Relations & Support Provide guidance to managers and employees on HR practices, policies, and employment topics. Support employee engagement initiatives and HR projects (policy harmonization, system enhancements, etc.). Collaborate with cross‑functional teams such as Finance, Legal, and IT. Required Qualifications Bachelor’s degree in Human Resources, Business Administration, or a related field. 3+ years of HR and payroll operations experience, preferably across multiple EMEA countries. Strong understanding of payroll processes, statutory compliance, and HR administration. Experience working with HRIS and payroll systems (UKG preferred not mandatory). Excellent Excel and data analysis skills. Strong communication skills and ability to work with diverse cultural teams. High attention to detail, accuracy, and confidentiality. English and Spanish proficiency is mandatory; knowledge of additional European languages (Dutch, Norwegian, Swedish, Italian) is considered an advantage.
