General Services & Facilities Support

We are seeking a highly organized and detail-oriented individual to join our team as a General Services & Facilities Support specialist. This role will be based in Madrid and will report to the Country Manager Iberia & Facilities Manager.

Key Responsibilities:
  • Oversee the activities of external Facility Management service providers for maintenance, inspection, and repairs.
  • Work with landlords, tenants, and service providers to ensure they implement and recognize all procedures, policies, and reporting formats.
  • Ensure contractors meet standards for preventive and curative maintenance, especially during refurbishment, store openings, and closures.
  • Manage daily operations, including building systems, equipment, and utilities.
  • Coordinate the tools of employees, such as laptops, mobile phones, corporate credit cards, etc. with the IT department.
  • Carry out periodic inspections and risk analysis, dealing with various inspections (good consumers, electronics, etc.).
  • Control bank POS devices, bank deposit cards, and credit cards.
  • Coordinate and administratively manage property portfolio; renewals, terminations, etc.
  • Maintain property documentation, such as leases, title deeds, and maintenance records.
  • Monitor compliance of all real estate with laws and regulations, including regional and municipal regulations.
  • Point of contact for landlords.
  • Handling complaints and disputes.
  • Working with appointed real estate mediators.
