Advisory PMO Coordinator Role

As a key member of the Advisory team, the Advisory PMO Coordinator plays a vital role in ensuring the successful delivery of advisory projects. This position is ideal for an organized and detail-oriented individual with a passion for project management.

Key Responsibilities:

  • Support advisory projects on project management activities, including setup and maintenance of project management tools.
  • Establish and maintain project document management systems, ensuring client-facing information is accessible and up-to-date.
  • Create contact lists and manage access to tools and documents.
  • Signpost clients toward Smartsheet training materials, promoting effective project management practices.
  • Track project activities and risks, maintaining a RAID Log to ensure timely identification and mitigation of potential issues.
  • Prepare and deliver weekly project financial reports, providing stakeholders with critical project performance insights.
  • Support project closure activities, including removal of access, documentation of lessons learned, and transition to new project phases.
  • Schedule, arrange, and facilitate project meetings and workshops, ensuring effective communication and collaboration among team members.
  • Document actions and outcomes from initial project meetings, sharing key information with relevant stakeholders.
  • Collaborate with the Project Manager to create and maintain project management documents, such as the Project Charter, Team Org Chart, and Block Plan.

Requirements:

  • Degree in Business, Engineering, or a relevant field of study.
  • Background as a Project Coordinator/PMO or equivalent, with experience in business administration, finance, and quality control.
  • Fluent in English, with the ability to communicate effectively with intermediate and high-level management.
  • Excellent verbal and written communication, interpersonal, and analytical skills.
  • Ability to remain flexible, quickly learn, and adapt to changing project requirements.
  • Strong skills in MS Office applications, particularly Word, PowerPoint, and Excel.
  • Knowledge of Smartsheet and Alight's project management environment and tools.
  • 4+ years of working experience, with at least 2 years in a project management-related role.
