About the Role

We are seeking a highly organized and customer-focused Receptionist to join our team at buscojobs España. As a key member of our administrative team, you will be responsible for providing exceptional support to our participants and visitors, ensuring a warm and welcoming environment.

Key Responsibilities
  • Welcome and assist CIEE participants and visitors, providing a positive first impression of our organization.
  • Act as an initial point of contact for general health, safety, and security matters, providing guidance and support as needed.
  • Help participants with various tasks, such as making medical appointments, retrieving lost items, and providing directions.
  • Establish a direct contact for participants with the appropriate CIEE staff member for specific incident reporting, housing inquiries, and academics.
  • Assist with food catering services, ensuring that all participants' dietary needs are respected.
  • Contribute to maintaining an optimal appearance of the shared communal areas and classrooms.
  • Perform basic administrative tasks, such as creating name lists, nametags, and photocopying, in support of student orientation, activities, and excursions.
  • Support the Administrative Department in various tasks, including updating internal records and databases, preparing expense and invoice reports, and digitalizing documentation.
  • Supervise storage, borrowing, and return of remote controls, and assist with sign-up sheets for cultural activities and events.
  • Distribute mail and sign for necessary correspondence and deliveries, notifying participants of special deliveries or packages.
  • Maintain classroom calendars and reservations, and enforce security protocols.
  • Keep IT devices updated, including the center inventory, and support staff with hardware issues.
  • Order office supplies, provide professors with classroom and office materials, and attend educational orientations and cultural activities as assigned.
Requirements
  • Authorization to work in Spain.
  • Excellent customer service skills, with a friendly and collaborative working style.
  • Proven ability to communicate efficiently in English and Spanish, and deal calmly with stressful situations.
  • Good administrative skills, with attention to detail and the ability to complete assigned tasks efficiently and accurately.
  • Flexibility to respond quickly to changing circumstances.
  • Fluency in Spanish and English.
  • Minimal technical degree in Secretarial Studies, Tourism, Theatre/Arts, or equivalent.
  • Good computer skills, IT problem-solving abilities, and knowledge of Microsoft Office.
