About the Role:
We are seeking an experienced and highly organized professional to support the Director 1:1 and work closely with the General Manager. This role is essential in managing a wide range of administrative tasks, translating communications, and acting as a key liaison between the Director, internal teams, and external stakeholders. You will be responsible for managing a busy diary, travel logistics, and other executive support functions while handling last-minute changes with ease.Key Responsibilities:
  1. Executive Support:
    • Manage the Director's calendar, scheduling meetings, appointments, and travel arrangements across multiple locations.
    • Handle all communication, emails, and phone calls in both languages.
    • Act as the Director's right-hand support, providing daily updates and reporting.
    • Prepare and organize monthly management board packs, including minute-taking and creating presentations.
    • Assist with expense management, ensuring timely reconciliation.
  2. Translation & Interpretation:
    • Translate meetings, emails, and documents from Spanish to English for the Director.
    • Provide real-time interpretation during meetings (virtual and in-person).
    • Liaise with Spanish-speaking clients and stakeholders to ensure seamless communication.
  3. Travel & Diary Management:
    • Arrange domestic and international travel, including flights, accommodations, and ground transportation.
    • Organize and plan the Director's schedule, ensuring all travel-related tasks are managed efficiently.
  4. Administrative Duties:
    • Manage office facilities, ensuring smooth daily operations across multiple locations.
    • Assist with client and stakeholder communication on behalf of the Director.
    • Perform research projects, collating and presenting information to support executive decision-making.
  5. Event Organization:
    • Plan and coordinate events, both internal and external, ensuring all logistical needs are met.
    • Organize meetings, conferences, and other corporate events as required.
  6. Internal Communication:
    • Serve as a bridge between employees and the Director, facilitating clear and effective communication within the organization.
    • Follow up on action items from meetings and ensure completion of tasks.
Requirements:
  • 5-7+ years of experience as a PA/EA supporting C-suite level executives.
  • Fluency in both Spanish and English is mandatory, with proven translation and interpretation skills.
  • Bachelor's degree or equivalent work experience.
  • Excellent organizational skills, able to multitask and prioritize a high-volume workload.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional written and verbal communication in both languages.
  • Experience managing diaries, travel, and events for C-suite executives.
  • High level of professionalism, confidentiality, and discretion.
  • Strong problem-solving abilities and attention to detail.
  • Experience in a fast-paced and dynamic environment.
