Job Summary

We are seeking a highly organized and detail-oriented Meeting and Events Coordinator to join our team at JLL Europe Middle East. As a key member of our Meetings and Events Team, you will be responsible for coordinating meetings and events across the region, ensuring seamless execution and exceptional customer service.

Key Responsibilities
  • Support and leadership of onsite meeting and events teams
  • Coordinate event stakeholders and partner teams to ensure timely and efficient execution
  • Manage Outlook and meeting room booking systems to ensure accuracy and up-to-date information
  • Coordinate event set-ups with meeting and events teams to ensure a smooth experience
  • Coordinate meeting and event requests with meeting and events teams to ensure timely completion
  • Coordinate employee experience activations and events to enhance engagement and morale
  • Ensure out-of-hours meetings and events are coordinated efficiently and effectively
  • Ensure service excellence across the region by maintaining high standards of customer service
  • Coordinate service support from facilities, janitorial, and security teams to ensure seamless execution
  • Coordinate facilities team to ensure rooms are correctly configured for events
  • Implement new processes and standards across sites in conjunction with the Program Manager
  • Operational oversight of the region, linking with the Program Manager for implementation of global or regional practices and standards
  • Act as a point of escalation for issues, feeding back to the Program Manager where required
  • Ensure compliance with EHS requirements and standards for all meeting and event activities
  • Convey relevant feedback to the Line Manager and Program Manager when appropriate
  • Liaise with Amazon Global Events Services teams where onsite meetings and events cannot be accommodated
  • Perform all other tasks and duties as required
Requirements
  • Previous experience working within a high-profile corporate environment
  • Previous hospitality experience is desirable
  • Fluency in English and local language
  • Proficient knowledge of Microsoft Office Pack
  • Very high attention to detail
  • Outstanding customer service skills with the ability and confidence in communicating to customers at all levels, both written and verbal
  • Ability to maintain professionalism at all times and be an ambassador of the team
  • Be an excellent team player with the want to go above and beyond for each other
