Job SummaryWe are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. The successful candidate will provide exceptional customer service, administrative support, and maintain a welcoming environment for our visitors and clients.
Key Responsibilities- Administrative Support: Provide administrative assistance to ensure the efficient operation of the office, including filing, typing, copying, binding, and scanning.
- Customer Service: Deliver exceptional customer service, answering calls, and fielding questions and needs in a professional and polite manner.
- Office Maintenance: Ensure the operation of office maintenance, including preventive maintenance, equipment inventories, and evaluating new equipment and techniques.
- Supply Management: Maintain office supplies inventory, checking stock levels, anticipating needed supplies, and expediting orders.
- Meetings and Events: Assist with meetings, preparing rooms, catering, and providing constant support.
- Travel Arrangements: Support travel arrangements, including booking flights and accommodations.
- Communication: Provide information to internal and external stakeholders, answering questions and requests in a timely and professional manner.
- Experience: Minimum 3 years of experience in a similar position.
- Skills: Microsoft 365 - Excel (compulsory), SAP - Modulo Pedidos Indirectos (desirable).
- Languages: English: Advanced, Spanish: Advanced, Catalan: Intermediate/Advanced.
- Competencies: Able to work under tight deadlines, methodical with attention to details, adaptability, good communication skills, communication with diverse stakeholders, and ability to handle multiple tasks simultaneously.
