Cruise Operations Coordinator

ABOUT THE POSITION
- Serve as the main point of contact between the Cruise Line, port authorities, and various stakeholders to guarantee the effective management and processing of vessel operations during port calls, adhering to established protocols and policies.
- Organize vessel arrivals and departures, coordinating berthing arrangements with port authorities, terminal operators, security, governmental agencies, and maritime service providers.
- Respond promptly to email inquiries from multiple regional accounts, ensuring efficient communication.
- Oversee vessel entry and clearance processes, including customs, immigration, and health formalities, to maintain compliance with regulatory standards. Utilize various systems for all vessel entry and departure needs.
- Collaborate closely with suppliers to provide safe, healthy, and sustainable services.
- Address daily operational challenges and suggest workflow enhancements to management to boost productivity and efficiency in port operations.
- Monitor vessel movements, port conditions, and weather forecasts to foresee operational issues and minimize disruptions, effectively communicating with all involved parties.
- Compile and submit timely updates throughout the day for vessel operators and corporate managers; complete necessary sailing reports as required.
- Ensure all sailing documents for invoicing and billing are completed within acceptable timeframes, with all supporting documentation properly saved.
- Participate in conference calls with vessels and/or cruise lines as necessary.
- Manage the forwarding of vessel packages, medical luggage, or lost and found items as requested, notifying relevant parties of tracking information and costs. Provide assistance for lost luggage.
- Coordinate and provide necessary medical assistance, following up with updates for any disembarked crew or guests to the appropriate departments for each cruise line.
ABOUT YOU
- Proficient communication skills in both English and Spanish, written and verbal.
- Residing in Mallorca.
- Strong educational background; maritime studies are advantageous.
- Previous experience as a Port Agent is preferred.
- Strong problem-solving and analytical abilities.
- Excellent office administration and organizational skills with a focus on detail.
- Familiarity with Microsoft Office applications.
- Results-oriented with a strong customer service focus; decisive in problem-solving.
- Willingness to travel for business as required by management.
