As our operations have been growing significantly in Europe, along with Nextracker team in the region (currently 30 colleagues, expected to end up around 40-45 by end of 2023), we are looking at hiring the Office Manager Spain to manage a series of activities to ensure the smooth operation of the Madrid office, our European headquarters. The role will require to exercise independent judgment within defined procedures and practices to achieve objectives. As the Office Manager may have to make decisions without management supervision using broad guidelines, which decisions may affect site, we are looking for someone experienced, with high level of accountability and ownership. The Office Manager will be reporting under Nextracker Spain authorized Director.

Here is a glimpse of what you’ll do:

- Develop and improve processes related to all activities specific to the Madrid office (on-boarding trainings, IT equipment inventory).
- Liaise with Human Resources to implement appropriate HR Strategies and actions to recruit and retain a qualified and motivated workforce.
- Work with IT to transmit communications to the business group and coordinate schedules for any updates to be completed.
- Manage administrative activities like reception, mail, event planning, files and records, office supply, and office equipment.
- Negotiate with vendors to meet business needs.
- Coordinate with the local office Head to assist in budget preparation and process department invoices for payment.
- Enforce safety rules and governmental regulations as communicated by the Facilities department.
- Update databases and reports on key metrics related to the local office.
- Collect and prepares information for use in discussions/meetings of executive staff and outside individuals.
- Assist in the planning and execution of logistics for company meetings, special events, and other promotional events.
- Assist in food and beverage selection as well as make arrangements for audio-visual, transportation and other services.
- Maintain key distribution and contact lists.

Here are some of the skills and experience you’ll need:

- Bachelor’s degree or equivalent experience in addition to 5 years of related experience.
- Strong experience using office software including Word, Excel spreadsheets and PowerPoint.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Experience in working cross-culturally and across different time zones
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and
