We are growing and need more administrative hands to help raise the future performance of our sales office. Do you have meticulous attention to detail and an analytical mindset? As our customer service and tender administrator you will be supporting our busy sales and marketing function with administration-related tasks to enable us to grow rapidly. You will be working out of our office in Toledo, and you will report to the Office Manager.

Our Spanish sales office further consists of our Country Manager. Mermaid Medical Group have sales personnel in 8 countries across Europe and USA and Nordic roots with headquarter in Denmark.

**About the position**

You will be working with varying administrative tasks related to anything from sales and marketing across customer service to finance. It is a part time position (25 hours per week, and we expect to increase it up to full time next year) with the opportunity to try many different things that also requires you to stay on track with multiple priorities simultaneously.

Your primary tasks and responsibilities will be to:

- Public tenders
- Check data accuracy in orders and invoices
- Contact clients to obtain missing information or answer queries
- Liaise with the logistics department in Denmark to ensure timely deliveries
- Maintain and update customer records
- Communicate important feedback from customers internally
- Check up on progress with sales targets and report deviations
- Support administration in our upcoming CRM system, HubSpot

If your interest and competences allow it, you will also be tasked with supporting activities that more directly relates to sales and marketing such as generating leads, creating campaigns, and promoting our brand.

**Who are you?**

Previous experience working in an administrative role within a busy office environment, preferably a sales office or the like would be beneficial.

To be successful in the position, we expect that you:

- Are fully competent using Microsoft Office including excel
- Have excellent organizational and multitasking skills
- Are a team player with a high level of dedication
- Have a customer-oriented approach where the customer is always at the heart of what you do.
- Are proactive and take initiative.
- Have a high competency in English.
- Respond quickly to the needs of customers and colleagues and are able to structure information to meet the needs and understanding of the intended audience.
- Experience in medical device and/or tenders environment would be an advantage.

It is advantageous if you have experience or knowledge with CRM, more specifically HubSpot, or Navision software.
