Reporting: Global Country Management Support

Location: Barcelona or Sibiu

**Role purpose**

To provide business support to the Country Manager function by providing efficient administrative support to assigned teams and areas of the organization.

You’ll be closely collaborating with local teams and multiple stakeholders such as Country Manager, Senior Management Team (SMT), Facilities Management, local Finance & HR, Colt Ambassadors and CSR Champions among others.

**Key accountabilities**
- Provide support to the Country Managers such as organizing monthly Country Senior Management Team (SMT) meetings, including preparation of agenda, meeting minutes and follow-up on action points.
- Support with raising Purchase Orders in Ariba system and submitting Purchase request forms for one-time payments for approval and follow-ups.
- Support internal and external audits with logistics and communication between central and local teams.
- Act as the link between the central Business Continuity Management and the local teams during crisis management exercises.
- Support with obtaining signatures on various agreements/ contracts from country authorized signatories, acting as a link between teams ensuring we remain compliant and deadlines are met.
- Support for local Awareness campaigns, distribution of awareness messages and ensuring that local support is provided onsite.
- Facilitate communications from the Country Manager/SMT to the local employees.
- Support with the organization of networking events, local Staff Events and also CSR Ambassadors activities.
- Collaborate closely with departments in other business functions and being the interface with different stakeholders in the business.

**Role specific requirements**

Skills & Experience
- Minimum of 2-3 years' experience as an Executive Assistant / PA / Office or Team Assistant Role
- Very good command of English and another European language would be desirable
- Ability to communicate and collaborate efficiently
- Advanced Microsoft Office Skills
- Planning and organizational skills
- Ability to work independently and be self-motivated
- Ability to think out of the box
- Ability to be flexible and adjust to changes in the working environment
- Self-motivation to achieve consistently high quality results
- Openness to share knowledge and best practices with other teams
- Ability to build strong relationships with colleagues and stakeholders
- High standards of customer service
