The Facilities Manager will supervise the activities of all Vendor Company facility groups and outside contractors. The Facilities Manager will manage and be responsible for the delivery of a fully integrated multi service facilities management contract and ensure that facility services are being provided in a proper and cost-effective manner from a day-to-day perspective.
Maintain overall facility management services to ensure maintenance of the facilities and grounds, and provision of associated services, is executed in a manner consistent with the Client’s global standard processes and professional brand image and compliant with applicable local laws, rules and regulations
Work collaboratively within the facility management team to deliver facility management services across all business lines (FM related projects, planning, etc.)
Deliver on all financial planning routines within assigned portfolio including the preparation and financial management of property budgets with the Clients’ goals and objectives addressed, variances tracked and reported on and all fiduciary duties upheld
Conduct and/or support the execution of periodic interior and exterior site inspections documenting facility conditions and integrating with additional service lines to ensure functional, comfortable, compliant, energy efficient and attractive facilities, in accordance with approved operating budgets
Ensure mínimal preventable incidents that create interruptions to the ongoing operations of the Client and safeguard professional risk mitigation related to facility management services, including the adoption of programs to enhance safety and compliance and minimize incidents
Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting and participating in the development of best practices, new tools, process re-engineering and other ideas that provider service delivery efficiencies

Key Responsibilities
Internal customer/Stakeholder Management
Ensure defined scope of works are delivered with excellence and consistency across the range of services.
Deliver excellent customer service to meet site expectations and demands.
Build and develop effective relationships with key stakeholders &/or customers and be comfortable working across all levels.
Support the overall delivery of FM operations in terms of contract delivery, M&E services, legislative compliance, and contractor management.
Plan and monitor PPM schedules, O&M warranties, and Asset Life Cycle. Create a supplier database for all works completed for Client and provide outcomes/certs to Client
Act as the key point of contact for relevant stakeholders & contractors.
Interface with Client personnel to ascertain that their needs and requirements as related to the facility management contract are being satisfied.
Be proactive. On a weekly basis, to reach out to clients to see where assistance is required. Assist with Client team goals.
Accurate detailed metrics to be presented each Month to include analysis on trends and results
Coordinate logistics and space setup by managing daily checks. Work with janitorial staff to make sure all spaces are prepped daily and promptly cleaned and reset after.
KPIs
Achieve Key Performance Indicators (KPIs) and Service Level Agreement targets
Analyse KPI data to identify issues, trends and improvement opportunities
Ensure the timely delivery of accurate KPI data / reports
Procurement & Vendor Management
Manage multiple vendors to deliver services on time and within budget to Client.
Manage all vendor works
Implement cost savings procedures and formation of budgets and reports.
Seek ways to reduce costs and improve operational standards and workplace solutions
Support Local Operations Management
Assist and monitor to ensure all building procedures and performance measures are always maintained
Ensure that the site’s financial operations are meeting targets and control requirements
Assist and monitor financial processes to ensure account payable procedures are always followed
Health / Safety / Security Management
Implement and manage safety procedures to ensure the provision of a safe & secure working environment
Ensure compliance with all relevant statutory regulations
Health & Safety representative in line with agreed roles and responsibilities
Reporting
Assist in preparation of client reporting requirements.
Prepare an update report for services meeting with client.
