**Job Description**:
Are you passionate about Luxury and Sales? Our newly established Global Reservation Centre in Barcelona is looking for a passionate hospitality talent to become a fundamental part of our growing team with ambitious goals.

As an Office Coordinator, you will be a key member to ensure the smooth running of the office, manage facilities, equipment, supplies and providing administrative support to the management team.

**Job Purpose**:
Reporting directly to the Site Director, the Office Coordinator is responsible for managing the overall building maintenance and custodial functions. The role also supports the Site Director with administrative needs and liaises with the Leadership Team.

**What you will be doing**:

- Manages the facility daily by ensuring the Centre is maintained, clean and meets workplace safety requirements.
- Works closely with contractors, vendors and building owner to ensure overall successful operation of the building.
- Provides administrative support to the Site Director such as scheduling meetings, preparing presentations, managing budgets and planning business travel.
- Drafts and communicates agenda and meeting minutes for Executive and Operations teams.
- Oversees facility’s work order system and manages service call responsiveness
- Liaise with outside vendors on issues / projects related to HVAC, construction, moving, and any other project that ensures the overall successful operation of the Centre.
- Liaise with Director, Talent and Culture Director regarding ergonomic needs to ensure a safe work environment to all colleagues. Coordinate requirements and purchasing of ergonomic equipment required.
- Works closely with IT Team to provide support to the ops team. Ticketing follow up.
- Organize the logistic for new comers (IT set up / badges / seats /) and introduce the office organization.
- Initiate research and provide recommendations in efforts to innovate facility functions.
- Initiate research and recommendations on equipment purchases required for the building.
- Organize and maintain up to date manuals on facility policies and guidelines.
- Develop and monitor annual Facility Budget, research any variances.

**Qualifications**:
**Your experience and skills include**:

- +1 year experience in a similar role or/in facility management
- Experience in luxury travel, hospitality or customer care industries will be an asset.
- Fluency in English (C1) and Spanish are required
- Other language (Catalan, French) is a plus
- Proficiency in MS Office and working knowledge of office equipment.
- Proven project management and organizational skills to ensure plans are managed on time and on budget.
- Excellent written and verbal communication skills with exceptional attention to detail.
- Effectively and respectfully communicate with internal and external stakeholders in a variety of different formats
- Take initiative to solve problems and make decisions independently and without direct supervision.
- Ability to multi-task
- Fundamental business skills and knowledge of general administrative procedures.
- Positive and proactive attitude
- Respectful and collaborative within a diverse multicultural environment
- Must be currently legally entitled to work full time in Spain
