Job Description:
We are seeking a dynamic and motivated Administrative and Operations Assistant to join our team at Veritas Intercontinental SL. This position will be located at our laboratory in Barcelona and will involve various tasks related to sales operations and administrative support within the biotechnology sector.
As an Administrative and Operations Assistant, you will work alongside leading scientists, sales professionals, and executives who are passionate about their work. This cross-functional exposure, which includes interactions with various countries around the globe, will provide you with invaluable insights into both the scientific and business aspects of our operations.
Responsibilities:
Provide Sales and Operations support: Using Veritas's dedicated CRM system to assist the sales team by performing various administrative tasks, including meticulous data entry, systematic filing, and maintaining detailed records to support operational efficiencyManage Sample Intake: Efficiently receive and meticulously organize incoming samples within the laboratory environmentAssist in Financial Operations: Contribute to proforma invoices generation and reconciliation processes, ensuring accuracy and timeliness to support financial transparency and client satisfactionFacilitate Interdepartmental Collaboration: Collaborate closely with cross-functional teams to streamline operations, optimize workflows, and enhance overall customer satisfaction through effective communication and teamworkFacilitate Logistics: Play a vital role in the organization of packaging/shipment of samples to clients and partners, ensuring timely delivery and compliance with regulatory requirementsActively participate in team meetings: offering insights and ideas for process enhancement and operational excellence to drive continuous improvement initiatives within the organization. Requirements:
Strong organizational skills and attention to detailExcellent communication and interpersonal skillsAbility to multitask, prioritize tasks effectively, and apply problem-solving skills to operational challengesGood level of EnglishProficiency in Microsoft Office suite (Word, Excel, PowerPoint).
