Position: Purchasing Officer – Madrid Schools
Location: Madrid Schools/Hybrid
Purpose of Role:
The Purchasing Officer – Madrid Schools is responsible for managing and coordinating the ordering and purchasing across the three schools in Madrid, as well as supporting the management of suppliers.
The Purchasing Officer – Madrid schools reports into the Head of Finance – Madrid schools.
Key Responsibilities Supplier management, cost control, and procurement:
Support the schools in establishing and adhering to a standardized purchasing process, ensuring all purchase orders are reviewed against Budget/Forecast, approved, and matched to final supplier invoices before recording into Netsuite.
Issue purchase orders and manage their approval processes in accordance with company policies.
Support in following up on any supplier purchasing/invoicing queries.
Manage and coordinate procurement ordering and purchasing for the Madrid schools, providing any financial analysis or financial information needed to make sound procurement/purchasing decisions.
Ensure adherence to legal and regulatory procurement standards.
Communicate with vendors to obtain quotations, negotiate prices, and terms.
Research and identify potential suppliers and vendors.
Maintain relationships with existing suppliers and source new vendors when necessary.
Ensure suppliers meet delivery, price, and quality standards.
Monitor stock levels.
Input purchasing data into the company's systems.
Generate regular reports related to procurement, cost savings, and supplier performance.
Review and assess existing contracts to identify potential cost savings or improvements.
Track and monitor savings resulting from procurement decisions.
Maintain the contract register within the preferred Group's Procurement tool called Scanmarket.
Maintain and comply with the regional procurement policy for all schools.
Analyse financial information and trends to identify new procurement initiatives across the three schools.
Ad hoc tasks and responsibilities, as required by the role.
School Partnering: Work with other departments to understand requirements and coordinate procurement efforts.
Ensure smooth communication between departments and suppliers.
Assist in analysing market trends and price changes.
Systems: Provide feedback, suggestions, and input from the school to help develop the systems and facilitate efficient and consistent finance processes and reporting across the school.
Skills, Qualifications, and Experience Previous experience in a purchasing or procurement role, preferably covering multiple sites of operation.
Administration and/or management qualification is needed.
Ability to work in a fast-paced environment.
Excellent knowledge of MS Office applications, particularly Excel.
Strong analytical abilities to assess supplier performance, price trends, and market conditions.
Ability to build good working relationships with all members and levels of the organization.
A methodical, highly organized approach to executing assigned tasks and responsibilities.
Positive, proactive, passionate, personable, results-oriented, ambitious professional, who is keen to progress within a global organization.
Strong organizational and time-management skills with the ability to deal with shifting priorities.
Experience dealing with external advisors (suppliers, auditors, tax, etc.).
Previous experience in a multinational environment is desirable.
Fluent written and spoken Spanish is a requirement; English language skills are an advantage.
Ability to handle confidential information with maturity and discretion.
Capacity to take initiative and solve problems, supported by the Head of Finance – Madrid schools.
Key Relationships To be successful in this position, the Purchasing Officer – Madrid schools must build strong working relationships with the following groups:
Finance Team for Madrid schools and colleagues in other schools in the region.
Regional Procurement team.
Administrative and School Management teams for the Madrid schools.
