GBSB Global Business School is looking for a Receptionist & Student Well-being Officer to join our team at our Madrid Campus.

This is a 30-hour-per-week position, Monday to Friday, from 8:30 AM to 2:30 PM. Occasional attendance at student events during evenings or weekends will also be required, with any additional hours paid separately.

The position is offered under a fijo-discontinuo contract, as the campus closes during the Christmas and summer holiday periods.

An excellent command of both English and Spanish is required. This is a great opportunity for someone who enjoys working in an international, English-speaking environment, supporting students, participating in events, and interacting with people from different countries and cultures.

Main Responsibilities

  • Manage reception duties, including welcoming visitors, answering phone calls, and receiving and sending parcels.
  • Process international shipments and maintain accurate records and tracking information.
  • Support student and lecturer administration by maintaining updated lists and documentation, preparing attendance sheets, recording student attendance in Classlife, and filing medical justifications.
  • Ensure classrooms are neat, organized, and ready for use, including managing classroom materials, whiteboards, and computers before and after classes.
  • Support student well-being by assisting students with practical matters related to living in Spain, such as accommodation, NIE applications, medical appointments, and other day-to-day needs.
  • Participate in Orientation Days, welcoming students and helping them become familiar with the campus and life in Spain.
  • Support the organization of student events, including venue and restaurant bookings, attendance tracking, event promotion, gathering student feedback, and proposing new ideas for activities and engagement.
  • Assist with problem-solving, coordination, and hosting during events.
  • Attend student events when required.
  • Collaborate with colleagues across our Madrid, Barcelona, and Malta campuses in the organization of student-life activities.
  • Support the Events and Communications Lead with event organization and the preparation of related promotional materials.

Ideal Candidate

We are looking for someone who:

  • Has previous experience in reception, customer service, client relations, administration, or a similar role.
  • Is dynamic, approachable, organized, and attentive to students’ needs.
  • Has excellent communication and customer service skills, with a professional and solution-oriented approach.
  • Has an excellent level of written and spoken English and Spanish, as daily communication with students takes place in English.
  • Is confident using Microsoft Office and other digital systems. Previous experience with LMS/VLE platforms would be an advantage.
  • Enjoys working in a multicultural and international environment.
  • Is reliable, punctual, proactive, and able to work autonomously.
  • Is comfortable occasionally attending events outside regular working hours.
